Key Tasks and Responsibilities:
1. Handle incoming calls and greet visitors.
(a) Responsible for screening all the incoming phone calls in a polite manner with standard greetings and transferring to the concerned parties, take messages if needed;Phone calls transfer to responsible person
(b) Greet visitors, do registrations and guide them to the appropriate staff
2. Handle courier and postage service
(a) Ensure all the incoming / outgoing expresses & mails are well received, distributed and recorded as the company standard required; Update employee namelist timely.
(b) Monthly bill check and payment follow-up.
3. Keep office clean and responsible for office maintenance and security
(a) Maintain the office facilities, such as: printers, fax machine, scanner, air purifiers, etc.
(b) Responsible for related vendors monthly payments
(c) Maintain the First Aid box and keep track of medicine distribution
(d) Order for pantry and offices stationary
(e) Arrange office cleaner’s job and arrange for annual clean up
4. Travel arrangement for visitors and colleagues
Expected Results:
(a) Issue invitation letter, assist with visa application
(b) Authorize the airtickets and hotel booking via travel agent
(c) Coordinate on air flight options for domestic and overseas trips
(d) Monthly bill check and payment follow-up.
5. Others
a) Participate in company-wide projects including: office security, risk management and office renovation.
b) Coordinate with suppliers to check and follow up the montly payment.
c) Other potential ad-hoc works assigned by line manager
6. The Receptionist & Customer Care will undertake other duties as reasonably directed by the PA to GM from time to time.
Expected Results:
a) Duties are carried out in a professional manner to a high standard with due care and attention to detail
b) Duties attended to in a timely manner or within set time frames agreed with the PA to GM.
c) In all other respects duties attended to in accordance with Company procedures or generally accepted best practice.
Qualifications/Experience:
? College above education background
? At least 2-years working experience is essential
Skills
? Professional customer service and interpersonal skills
? The ability to establish and build effective working relationships
? Excellent people skills, identify and resolve problems quickly and systematically
? Judge multiple tasks and priorities successfully
? A high respect for company polices
? Team work spirit
? Good command of English both in speaking and writing
? Good knowledge of Windows and office software
