Administrative Support
? Possess knowledge of office managements systems and procedures
? Support travel through AMEX Online, tools, telephone and email
? Conference rooms booking and setup for meetings and trainings when necessary;
? Skilled in Knowledge Management tools such as SharePoint and Outlook
General Office Support
? Manage the day-to-day operations of a variety of office services to ensure that the organization’s current and future administrative needs are met efficiently, reliably, and economically. These activities may include:
copy services;
office supplies, equipment, and inventory;
mail, distribution, and messenger services;
records management;
maintenance services;
facilities management;
Reception and communication systems (such as telephone, fax transmissions systems, etc.)
? Liaise with functional or operational area managers to ensure that office administration policies, programs, and activities are appropriate for their current and future business needs.
? Research, evaluate, and recommend office supplies and equipment purchases to minimize costs and meet the organization’s business needs.
? Select, and manage ongoing relationships with external suppliers (for example, cleaning or maintenance contractors or equipment vendors) to ensure the organization receives satisfactory standards of service.
? Organize, manage and arrange chauffeur services by PMD appointed drivers
? Manages security and door access system
? Prepare and issue the payment request forms for invoices and bills related to Reception duties and drivers
MINIMUM REQUIREMENTS AND QUALIFICATIONS
1. College graduate majoring in English, Business Admin or related subjects
2. Well versed with Microsoft Office applications;
3. Excellent interpersonal skills;
4. Strong analytical and problem-solving skills;
5. Knowledge of and ability to collaborate when necessary with other departments;
6. Ability to meet deadlines without compromising consistency in the process;
7. Experience dealing and handling sensitive information; 8. Ability to work under pressure
