Position: Faculty Administrator, Faculty Office of Humanities and Social Sciences

Salary & Benefits: RMB79,000 to RMB188,000 per annum before all deductions, depending on qualifications and experience

Qualifications
Essential
- Master’s Degree;
- Fluency in Mandarin and English
- Excellent verbal and written communication skills;
- Proven IT skills, including using MS Office applications and database systems;
- Knowledge of university systems;
- Excellent interpersonal skills;
- Ability to work under pressure and prioritise multiple tasks;
- Ability to work accurately and to deadlines;
- A strong team player who works collaboratively in a multicultural environment;
- Good financial planning and human resources management skills;
- Experience of working in a large complex, devolved organisation;
- Experience of controlling budget/resources/funding and a good understanding of financial management.
Desirable
- Overseas study experience;
- Ability to work independently and proactively and a high level of self-motivation;
- Experience of working in an international setting and/or education organisation;
- Ability to work at weekends or during holidays occasionally if requested.
Main Duties and Responsibilities
1. HR Support
- To coordinate staffing matters within the Faculty and provide relevant support in an efficient manner to all the staff, including those who are leaving;
- To proactively liaise with Human Resources Office in terms of staff recruitment, including managing interviews;
- To manage and coordinate staff workload planning and ensure its accuracy;
- To record and archive leave applications from admin and academic staff within the Faculty.
2. Financial Management
- To liaise with Finance Office to make sure regular budgetary updates are well received for all relevant cost codes in the Faculty;
- To review budgets on a regular basis to check expenditure and address queries;
- To provide monthly updates for each project code;
- To develop budgets and expenditure plans in line with University financial policies.
3. Infrastructure Support
- To act as the first point of contact in terms of facilities in the Faculty;
- To work with Estates Office to arrange equipment and replace broken one;
- To arrange office room and necessary equipment for incoming staff in a timely way.
4. General administrative support
- To support the Faculty Manager to develop resource planning, including providing reports and data;
- To respond to relevant enquiries from staff and outsiders in a professional manner;
- To keep in touch with other office/faculties to ensure appropriate flows of information and that there is a mutual understanding of relevant systems and processes;
- To participate in training and staff development, as trainer or trainee as appropriate, to develop and foster relevant expertise and awareness;
- To maintain a flexible approach to delivering work objectives and assisting team members as and when appropriate;
- To undertake other tasks and responsibilities as may reasonably be required.
