POSITION SUMMARY
? Purpose
Organize and optimize the daily scheduling tasks from pick up to delivery, from order taking to trip close with best customer service level and highest productivity.
? Nature and Scope
Scheduling the daily job of ~60 CSOs drivers and ~60 tankers.
Delivering over 5000 ship-to
Arranging >11000 drops monthly and closing the trip accurately on time
PRINCIPAL ACCOUNTABILITIES
? Customer service and satisfactions:
Has overall responsibility for the Planning of CryoEase deliveries, in addition to the production of CSO worksheets and Managed Gas cycle reviews.
Ensures the availability of resources for vehicle route and Customer delivery planning. Oversees the production and dispatch of CSO schedules on a daily basis, ensuring that each route is checked against all rules and parameters.
Manages the Planners to ensure that all deliveries meet the requirements of the Company Internal Service Charter. Assists the Planning team in finding satisfactory resolutions for customers, where shortfalls versus the service levels occur, including the checking of all available channels for delivery and liaison with CS Supervisors / Managers to update on the progress of job scheduling.
Is constantly aware of KPI requirements and ensures that these are measured on regular basis and feedback provided to team / individuals. Takes corrective action for any potential shortfalls versus targets.
Ensures that the team balance daily and weekly workloads across the available fleet and that there is a good geographical spread of vehicles.
Raises issues to the FDM as required, where conflict occurs between CSO and Planner, over work which is feasible and work that is dropped. Works with Field Distribution Management team to ensure that CSOs are effectively meeting requirements of the Planning Team.
Works proactively to ensure that all Managers are made aware of, and kept updated on, all issues relating to the Planning team.
Liaises with Fleet & Depot administrator to ensure optimisation of available vehicles.
? Operations Efficiency and Business Development.
Reporting on regular basis to line managers on departmental performance versus key tasks, KPIs and internal / external SLAs.
Review processes and procedures on regular basis to verify that these are working correctly and understood by Planners. Provision of recommendations to improve processes / procedures and updating of these, as required.
Champion the improvement on both productivity and service.

Maintenance and provision of weekly rotation for all Planners, to cover shift requirements. Notification to relevant departments of the Planner availability for each shift
Management of any absence within the team, in line with Company policies. To include ensuring sufficient coverage for shift requirements, completion of return to work paperwork/interview, in the event of sickness, and measurement of attendance and adherence to shift patterns.
Delivery of all Planner appraisals in timely manner and in accordance with the company standards & procedures.
Execution of regular team meetings to provide information on performance versus key tasks and to handle any team issues / concerns, as appropriate.
Management of all general issues relating to team performance, to include communication of information relating to day to day operation and provision of most up to date & accurate information required to perform in line with key tasks & expectations.
Is available to cover early, late and weekend shifts, as required.
Ensures that all rules in the system are accurate and up to date

Meets weekly with other functions to discuss action items and issues relating to the CSOs and schedules required. Keeps a record of all actions on an open issues log.
Works with Planner to determine optimal cycles to work with distribution plans based on customer requirement, geography and flexibility. This includes restructuring of the master routes
Ensures that all rules in the system are accurate and up to date
Provision of training for new hires and existing team, in line with standard training schedules. Identification of both team & individual training/development requirements, by observation, monitoring and regular communication with Planners.
Works with the IT department to review enhancements required to existing systems.

? Knowledge and experience
? Colleage degree on logistics management or related at least.
? 5 years experience or above at logistics management such as distribution, transportation, scheduelling etc.
? Have 2 years or above administrative experience.
? Experience about route optimization is preferred.
? Good understanding to mapping and route in the area the job holders will work at.
? Good command of spoken and written English.
? Good PC skill.
? Driving skill is preferred.
