This role will report in to the Customer Service Manager/Facilities Manager (CBRE) or another manager as delegated by the Senior Manager).
The following responsibilities will be included as key components of the overall requirements for this role:
1. Office administration
? Responsible for keeping an up-to-date inventory list of the office supplies and manage the distribution of the supplies.
? Responsible for procurement & replenishment of office stationery and pantry supplies from approved vendors.
? Responsible for other office administration as required from time to time.
2. Vendor Management and procurement issues
? Manage outsourced vendors on the day to day operations matters.
? Ensure the upkeep of premises cleanliness in the general office areas, conference rooms and pantry areas.
? Conduct regular site inspection with vendors and follow up to ensure that issues that have been identified are being action-on and completed.
? Conduct monthly vendor performance review with all service provider.
? Update the SOP regularly to meet local operation requirements.
? Responsible for managing vendors as assigned from time to time.
3. Capital and operating expense management
? Responsible for processing all invoices for both capital and operating expenses.
? Responsible for tracking and reporting of all capital and operating expenses.
? Assist in consolidation of expense reports for management review on a monthly basis.
? Assist in the annual budgeting exercise.
? Deliver site target savings according to the Annual Asia Sourcing Plan.
4. Data updates and reporting
? Assist in the preparation of Monthly FM operations report as required.
? Responsible for updating employee information and contractor list on a monthly basis or when necessary.
? Ensure accuracy of emergency contact list at all times.
? Ensure regular update of the Facilities Management operating handbook.
? Responsible for maintaining and updating the Facilities Management information on the Intranet.
? Other reporting as assigned from time to time.
5. Others
? Participate in continuous improvement programs, best practice development and facility management activities.
? Other responsibilities as assigned from time to time.
? Coordination with landlord in terms of general facilities and building activities and events.
? Attend to helpdesk issues and follow-up till completion.
? Participate in continuous improvement programs, best practice development and facility management activities.
