Functional Description
Job Functions
· 400 hotline inbound call answering and handling including inquiry, quotation and follow-up to maintain and improve customer satisfaction
· To establish a customer database step by step through direct contacts and job card history
· Order handling and reporting for spare parts direct sales through hotline
· To provide the accurate service reports to develop service business and management.
Major Tasks include, but not limited to:
· 400 hotline handling
-Answering customer calls, solving customer’s problems and make records
-Solving customer’s quotation, purchase, non-technical inquiry etc.
-Follow up every customer’s calls according to different needs
-Establish customer master data and update timely
-Make payment, submit to finance
· Customer satisfaction survey
-Responsible for making telephone survey to record customer satisfaction level and follow up if needed
-Maintain customer relationship, improve customer satisfaction
-Get customer suggestion and feedback by telephone visit, follow up timely
-Provide the accurate customer statistic and reports to analysis
· Quotation
-Strictly follow the principle to prepare formal quotation to customer such as service center, distributor, end-user etc.
-Prepare the quotation to customer within required working date
-Provide technical suggestion on customer quotation such as using kit part instead of component, using WINCAPS to select the service parts, seeking different resource to find the shot lead-time parts
· Order Processing
-To issue order and perform the processing of received orders to make sure the availability of request product specifications and terms of delivery.
-To follow-up the order day and day, ensure all of order schedule under our control. In case of any delay and change information, necessary communication and action must be taken.
-Helping customer expedite the delivery lead-time via different method such as suggest customer order kit parts instead of components, seeking different vendor etc.
· Payment
-Responsible to allocate all payment and submit to for approval.
· Report Consolidation
-To assist team leader in preparing reports, data and so on.
Qualification and Experience
· Bachelor degree holder in Engineering or Secretary
· 4 years above experienced with service coordination
· SAP knowledge
· Preferably 28 years above
Skills and Personal Attributes
· Fluency in oral, listening, and written in English
· Adaptable to the busy work that requires to sit all days
· Honesty and integrity to uphold the Company’s values
