职位描述
BASIC FUNCTION
To supervise and take efforts in the delivery of day-to-day services. Please refer to the following description:
- Invitation preparation, visa application, fixed asset management, housekeeping rule management, first-aid kit management, 4F meeting room and library, office supply booking and small project follow up as well as the implementation of those policies, procedures and programs that will assure a well service for managing and maintenance.
- Positive working attitude and focus on detailed operation work
SPECIFIC RESPONSIBILITIES
1. Be familiar with the visa application (for Non-K&B) and invitation letter (SSSB)process and requested material.
2. Include but not limited to handle the Comprehensive Housekeeping which includes poster paste, pantry cleanness, smoking area restriction, lunch area, associates cubical arrangement, public area and meeting room cleanness in SSSB.
3. To ensure all fixed asset which were assigned are in good manor and oversee the onsite service provider to complete their work in time and reach the agreed standard of the specified scope of works. And address the associates to keep in mind the company’s policy.
4. To ensure all recreational facilities of 4F meeting room are kept in a clean, attractive, safe and usable manner which include the desk and chair are placed in the right position, the projector, lighting and AC is well used, the rubbish is cleaned as well as the white board, etc.
5. Library management: cooperate with the reading club to Update book list, handle the lend and return process, new books shelving
6. Office Supply: Order the office paper, water, toner, cleaning consumable and first aid kit for this building base on the actual needs and record the consumptions. Submit the RFP and follow up PO implementation properly.
7. Small Project: Follow up the project implementation closely which include schedule, performance of construction and clean up, etc.
8. Handle any additional task assigned by the supervisor
RELATIONSHIPS & CONTACTS
Supervisory Relationships:
1. Solid line reporting to supervisor of building & ground – CEM OS, ASPAC Corporate
2. Dotted Line reporting to HR manager
2. Supervises administration work
Organizational Relationships:
1. Regular communicate with supervisor of building & ground Administration Officers for the purpose of reviewing policies, service applications, management procedures and discussing problems or concerns related to the Shibei Building.
External Business Relationships:
1. Frequent contact with vendors and contractors.
EDUCATION, SKILLS & EXPERIENCE REQUIREMENTS
? Bachelor degree of University, majoring for business administration, human resource
? Fluent oral and written skill of English
? Must be able to read and understand procedures and requirements. Intermediate computer literacy required.
? 3-5 years related working experience for administration work in the foreign company
