Job scope & General Function
The Buying & Planning Manager is responsible for selecting sun and accessory assortments, for product development, planning in the assortment allocation system, collaborate with store and inventory planners on product flow and model stock, with the maintenance functions, manage vendor communication/negotiation, support marketing and merchandising. The Buying & Planning Manager analyzes performance within the department, plans purchases and manages inventory to achieve financial objectives of department (sales mix, inventory turn, initial markup). She/He maximizes sales, profit and return on assets by developing assortments and ensuring adequate inventory levels for the demographic profile of the market.
Areas of Responsibilities and Related Activities
? Develop new sku forecast, orders and expansion forecasts to send to Italy and 3rd party vendor
? Ensure that assortments support annual sales plans and support division planned sales percentages
? Maintain assortments that meet LMPL target goals and ensure that stores inventory levels are met
? Maintain model stocks and assortment changes in allocation system
? System execution of all purchase orders, updates and adjustments
? Monitor store inventory levels and analyze product expansions/contractions based on weeks of supply and sell thru potential
? Ensure adequate stock levels for FD and key selling periods.
? Determine impact of promotional activity on sales and adjust forecast for related items
? Manage purchasing process for items being sourced from alternate suppliers.
? Contact vendors regarding shipping updates and adjusts delivery dates as needed
? Provide the logistic dept a monthly shipment forecast
? Monitor product delivery
? Provide to Finance Dept. Forecasted sales and planned purchases and other adjustments for capital analysis and budgeting
? Check daily orders generation and shipments, identify problems (if any) and involve IT in order to solve them
? Manage requests from product managers regarding product and FD performance
? Provide sales list to the stores before sales period
? Manage defective products sent from stores to office
? Guarantee a store service level>90%
? SAP sku creation
? Work closely with the planning dept in Italy regarding new sku introduction/discontinuation
? Manage and decide sku lifecycle code
? Generate weekly and monthly reports on sales and product KPIs and analyze results
Lux Product
? Attend Retail Luxottica Days in Agordo and develop new sku forecast, orders and expansion forecasts
Place orders in the system
? Create the SAP articles creation for the new skus.
Fill in Master Data Form for new skus in order for the data team to create new Sap articles.
Get both IC and Retail price list in different currencies from the proper offices in Agordo.
Ensure that all the required info have been uploaded for correct order generation.
? Monitor product delivery to DC
? When product is available:
prepare the excel file to upload the model sku per sku/store in order to activate the replenishment
prepare the file to upload manual PO (drop shipments)
Third Party Product-External Suppliers
? Attend Buying days of Third Party Vendor (TBD)
Place orders to the vendor
? Create the SAP articles creation for the new skus.
Fill in Master Data Form for new skus in order for the data team to create new Sap articles.
Get both cost price and SRP from the vendors in all the currencies needed.
Ensure that all the required info have been uploaded for correct order generation.
? When product is available, issue PO to each vendor
prepare the excel file to upload the model sku per sku/store in order to activate the replenishment (then forward it to the vendor-manual process)
prepare the file for the upload manual PO (then forward it to the vendor-manual process)
? Monitor product delivery to stores.
? Print the labels in office and send them to each store.
New Brand/Vendor Introduction
? Define terms and conditions
? Work on the SRP list
? Manage the vendor data into the system. Provide the IT all the info required for any new supplier/brand involved into the supply chain
Front Door Activities
? Define with the mktg team in China and in Milan the FD calendar
? Define the assortment for each FD
? Prepare Project brief to be shared with the brand managers for approval
? Place the product orders
? Monitor with the planning dept in Agordo the delivery date of the pcs
? Ensure adequate stock levels for FD
? When product is available, prepare the file either to upload the model sku per sku/store in order to activate the replenishment or to upload manual POs
New Store Openings
? Give the planning dept in Italy the forecast per sku
? Provide the IT all the information required in order to have the new stores properly set in all the systems
? Study the proper assortment, place the orders and allocate the model stock.
KNOWLEDGE AND SKILLS
Good leadership, communication and organizational skills
Well-motivated, well-organized, hard-working individual capable to administer and give structure to an highly ambitious start up (up to 100 stores in 2 years)
Knowledge of SAP/ Oracle Rpas
SPECIFICATIONS – EXPERIENCE
At least 5 years in similar role in structured fashon retailers
Experience in managing relationship with european / american HQ
