职 责:
This section contains a list of five to eight primary responsibilities of this role that account for 5% or more of the work. The incumbent will perform other duties assigned.
1) Maintain calendars and schedule meetings for executives/division lead.
2) Coordinate travel/meeting/business visa arrangements. May have global interaction and exposure to senior levels of management.
3) Monitor admin department budget and process expense reports.
4) Exposure to confidential/sensitive information and policies/procedures.
5) Exposure to participation on project teams.
6) Prepare correspondence and presentations.
7) Expatriates’ residence permit/ work permit administration.
8) Exposure to organize employee activities.
9) Supervise the procurement of leased company vehicles to be used for the execution of various administrative tasks in and around the Division. Ensure the continued operation and maintenance of the vehicles.
10) Responsible for the general upkeep and appearance of the facility.
11) Provide the division with off-site records management of all critical office administration records, including production and quality control records, drivers payroll and accounting records, legal documents, regulatory documents, etc.
12) Coordinate the destruction of expired records in accordance with guidelines established by the Division, Group and Corporation. Maintain inventory and order all production and miscellaneous required by the Division.

Must have a thorough understanding of basic administrative functions, sound mathematics and budgeting skills, advanced record retention techniques, state of the art admin services, functions, and specific business environment.
Must have the ability to deal with difficult people, manage multiple demands for administrative support and maintain open communication with each department in order to ensure administrative requirements are being met.
Must have the ability to motivate subordinate employees.
Ability to work in a highly demanding environment.
Mature personality and with strong willingness on detail works.
Ability to work independently and as a team player when required and for extended hours.
Requires computer literacy with knowledge of PowerPoint, Word and Concur. Have the ability to prioritize workflow and manage time effectively.
Requires self-motivation with excellent communication and organizational skills.
Requires excellent verbal and written skills in Mandarin and English.
Education and/or Experience: Include the education and experience that is necessary to perform the job satisfactorily.
Bachelor degree or equivalent required. 4 to 5 years administrative experience.
At least 3 years administrative working experience in a MNC.
Some experience in dealing with ex-pat administration preferred.
Experience in basic negotiation skills.
