职位描述

OFFICE ADMINISTRATION

Develops and implements office operation guidelines; supervises receptionist, drivers, facility technicians and staff canteen, shuttle buses, etc. through related vendors

Maintain inventory of office supplies and interacts with vendors to manage the selection, pricing and delivery of office supplies, equipment and services, e.g. courier service, air tickets, office renovation, car rental & etc.

Manage critical functions e.g. receptionist, telephones, office security, plants & flowers, stationary, mail delivery & etc.

Coordinate Office Lease

Perform other administrative and clerical duties, as assigned

SECRETARIAL SUPPORT

Perform the duties as assigned such as filing, posting, placing, telephone calls, translating / interpreting, typing, proofreading, documentation, and other routines.

Coordinate, sort, pre-view and help submit all documents requiring GM signatures

Maintain an effective filing system for all important documents

Perform general clerical and administrative duties including scheduling appointments;

Be responsible for the business visa application for employees



TRAVEL

Schedule meetings, conference rooms and make travel arrangements as required

Oversee calendar and schedule appointments on behalf of General Manager.

Book the air ticket and accommodation for the travel of General Manager

Help arrange for overseas' visitors' travel, hotel, and meeting arrangements when they travel to China.


COMMUNICATIONS

Organizes and prioritizes information, including handing confidential and sensitive data.

Be part of employee activities committee and work closely with HR for company wide communication, events, and activities

Act as translator per required



REQUIREMENTS

Essential

Excellent English communication skills both oral and written

College and/or University degree

Proficiency in the operation of computer software

Minimum 5 years related experiences, including office administration

Ability to work independently under pressure

Ability to work in a dynamic working environment

Ability to work well with all levels and types of people

l Honesty and integrity



Preferred

Excellent execution and follow-up

Quick learning capability and be willing to take challenges

Ability to handle and manage complicated or tough issues under certain circumstances
