Meeting coordination

· Coordinate and set up conference calls, team meetings, project meetings & external meetings. Create & distribute meeting agendas and minutes. Follow up on action items.

· Follow up the open issues / individual action plan with the division heads. Prepare/verify meeting materials for SCM.

Ensure meetings well-organized and efficient and good quality of minutes.

Assist to meet deadlines for projects and actions.


Good organization, Communications and time management skills

Organization

· Help to maintain and update the standard org charts format. Follow up with division heads and branch office managers to update individual org charts as required.

· Coordinate the process of Performance Appraisal and objective settings review.

· Assist SCM on the training master plan and coordinate with HR for the trainings provided by divisions.


Monitor the quality of org charts. Ensure deadlines are met. Avoid schedule conflicts.
Good organization and communication skills.

Communication

· Coordinate (or act as liaison) between divisions, branch offices and general staff to facilitate problem resolution.

· Review documents to determine how they will effect internal processing & determine appropriate course of action.

· Answer and forwards incoming calls and relays accurate and timely messages. Make outcoming calls to coordinate or schedule matters.


Follow up with departments to speed up solving problems.

Ensure the info and messages have been delivered and followed.

Documentations and filling system

· Maintain the handbook up to date (e.g. APD travel guidelines, Assistant handbook)

· Check completeness of documents for approval and follow up the instructions and inputs from SCM.

· Assist to organize and maintain filling system.

· Initiate, compose and prepare outgoing correspondence, memorandum, booklets and presentation material for meetings and conferences.

· Coordinate each department to harmonize all forms.


Ensure the documents with complete information, right format and signed by right person.

Create highly effective organizational and filing systems.
Knowledge of company policies and organization.

Writing, composition and grammatical skills

Good computer skills

Administrative Support



· Prepare and maintain SCM's expense report, track the cash flow in the bank account.

· Maintain SCM calendar by arranging and coordinating appointments, meetings, events and travel itineraries.

· Coordinate SCM (and visitors) travel arrangements: agenda, hotels, flights, rental car reservations etc.

· Support SCM for cost center budget estimate, communication to Controlling department. Assist SCM for cost control for the cost center.

· Collect external / internal information (CH export, China GDP, retail etc.)

· Elaborate / present information in overviews, PowerPoint presentation.

· Advice / alert on key info.
