职位描述

Job Purpose:

According to company procedures, provide standard and advanced secretarial duties to Managing Director to facilitate the work.




Key Responsibilities:


Working/Travel schedule

1. According to schedule, well organize business trip, including hotel booking, ticketing, travel document application, etc.

2.Travel expense claim for MD



Reports consolidation

1.Collect, summarize and compile relevant data into reports as directed.

2.Handle confidential information, files, and materials to ensure information security for proper use.

3.Prepare a variety of letters, memos, reports, presentations, and graphics accurately and efficiently.

4.Collect information needed by the executive for conferences, reports, and projects.



Meeting Arrangement

1.Maintain MD’s calendar and organizing meeting, workshop, event, etc. by providing logistics support

2.Prepare and attend routine/ special meetings to draft agenda, take minutes, follow up the fulfilment of tasks and logistics, etc.

3.Need to support some meetings on site to ensure its smooth operations.



Others

1.Exercise reliable personal judgment and act with tact to greet and screen visitors and incoming calls.

2.Handle incoming email, mail and other material.

3.Liaison with others offices in HK, and APAC

4.Any other ad-hoc tasks assigned.



Requirements:

1.No specific industry required, FMCG/Retail will be plus;

2.Bachelor degree or above;

3.Any certificate/training of secretary is a plus

4.Proficient in office application software;

5.Multiple language command is preferred, English is must/Italian is optional;

6.At least 5 years working experiences in multi-national companies;

7.Good analytical, consultative and interpersonal skills;

8.High energy, sense of urgency and results-oriented with global mind-set;

9.Be service-minded, proactive, accountable, passionate and self-motivated;

10.Strong capability to quickly understand business operations;

11.Can work under high pressure and good executive/ multiple task management skills.
