职位描述

1. Administrative Support to employees (Finance, Operations, HR, Marketing, Admin)
-Provide administrative support to employees in travel arrangements (airtickets, hotel, visa etc)
-Book meeting room when requested
2. Visitors Reception
-Assist in visa application documents for overseas visitors
-Maintain centralized visitor record and keep timely update
-Work with relevant assistant to provide logistics support for VIP visitors
3. Company Assets Maintenance
-Coordinate and maintain records for each employee, furniture, computers, office/cubical, telephones, cabinets and office keys.
-Collect and maintain inventory of office equipment and supplies.
-Arrange for the repair and maintenance of office equipment.
-Work with accounting staff in annual audit on company assets.
4. Administration Cost Reporting
-Provide monthly administration cost report and analysis by department
-Implement cost saving initiatives with traceable record
-Assist Manager in office administration budgeting process
5. Other Admin support
-Update office notice board bi-monthly
-Monitor the clean environment of office and arrange festival decoration
-Responsible for office cleaning according to given yearly cleaning calendar
-Maintain office plant
-Monitor office security (door system, evacuation route, etc) at regular base
-Update central filing system
-Assist on festival gift allocation and distribution
6. Implement and update admin policies and procedures
-Assist Manager to implement and update policies and procedures of office admin daily management, office security, purchasing, travel (air ticket, hotel, etc) arrangements, visitor reception, etc.
7. Vendor management
-Review and select qualified office vendors (not limit to stationary supplier, courier, print agency, car lease company, hotel) according to company policy
8. Events management
-Assist in special events, such as training, employee activities and the annual meeting.
9. Project based tasks and tasks assigned by Manager
-Office renovation (incl. office building searching at the first stage), etc
10. Others
-Assist Manager to implement and update office orientation materials and provide office orientation to new employees
-Arrange festival decoration.
-Backup when other admin assistant / receptionist is absent from work
