General Manager – Executive Assistant

Reporting to: General Manager

Job Purpose

The Executive Assistant to General Manager oversees a high volume of projects on behalf of the General Manager and the company’s dynamic team. He/She has the ability to manage multiple assignments simultaneously, manage administrative details and take charge of special projects to help ensure the success of this fast-moving group.

The Executive Assistant provides administrative support ensuring that the General Manager is kept abreast of current affairs and relevant issues pertaining to the Company. The Executive Assistant will provide a professional, efficient and courteous first point of contact for those wishing to have dealings with the General Managers.

Responsibilities

1. Coordinates with all Department Leads & employees as directed to support the completion of business priorities

2. Attend internal working group meetings as required: prepare agendas, take minutes, circulate action lists, identify follow- up actions and ’owners’; follow-up progress

3. Oversees multiple executive calendars and schedules, ensuring that Executives are well organized, well prepared and on time

4. Proactively utilize company-wide administrative & IT systems and set up and maintain electronic systems and databases as necessary, to improve efficiency

5. Carries out research assignments from a wide range of sources and suppliers – continuously searching for the latest advancements in technology, market intelligence, and customer service best practices

6. Manages daily itineraries, complex travel and contact databases

7. Prepares/drafts presentations, briefing notes and correspondence using own initiative and templates as required: e.g. collating information/recommendations from senior officers and summarizing into a key briefing document for Executives

8. Liaises with all levels of management and staff to coordinate meetings, conference and event details

9. Monitors incoming phone calls and correspondence for General Manager

10. Generates and distributes internal documents and reports as requested

11. Receive and welcome visitors (many of whom are of a senior level and from outside the company) on behalf of Executives.

12. The above is not an exhaustive list of duties. The post-holder may be asked to take on different tasks as required and all employees are expected to work collaboratively to support the overall work of the College.

Assist General Manager with personal tasks outside of office such as but not limited to language translation for emergencies and general life necessities (i.e. hospitals, real estate agents, wuye).
