职位描述


MAIN PURPOSE

    

Support the full spectrum of HR administration under RRF in all the areas including system maintenance, on/off boarding, HR reporting, HR services, in order to provide HRBPs to build employee and organisation excellence in RRF.

    MAIN RESPONSIBILITIES    

Data Input / Maintenance/ Reporting and Analysis

    

On/Off boarding & contract renewal related SAP actions;

    

Maintain staff information in SAP on regular basis or upon personnel changes;

    

Verify and approve the leave request on MY SPOT;

    

Data cleansing on quarterly basis;

    

Report generation and analysis of data on regular basis or per request;

    

    

Daily Operation

    

Onboarding preparation:

    

§ Issue offer letter to identified candidates;

    

§ PES/ Medical check;

    

- Send the PES request to PES vendor once receiving hiring confirmation from HRBP

    

- Follow up the PES result with PES vendor and medical check result with candidates

    

- Prepare onboarding pack (contract and other documents) for new staff on the onboarding date.

    

- Draft HR Announcement for new joiner

    

- Support day one onboard document sign off and mini induction.

    

- Activate new joiner’s individual WeChat @Work account and guide them to complete registration.

    

Offboarding Follow-up:

    

§ Monitor and follow up off boarding procedure as per HR SOP.

    

Probation assessment (refer to SOP):

    

§ Send email to line manager for probation assessment and follow up with line manager to collect

    

back the signed assessment form.

    

Contract renewal (refer to SOP):

    

§ Send email to line manager to confirm renewal.

    

§ Send the renew contract to staff and follow up signature and contract back.

    

Mobility Support:

    

§ Support Foreigners’ visa and work permit application, as well as relocation related support

    

Issue Employee required Certificates

    

§ Coordinate employee certificate application.

    

§ Prepare all related working certificate upon staff/company request.

    

Update function head information report monthly.

    

Collect and order office stationary for HR monthly

    

Vendor payment support

    

    

Payroll Support

    

FTE monthly payroll support

    

§ Assist monthly payroll processing by tracking relevant salary information, OT collection, input

    

incentive and commission information for C&B to arrange payments.

    

Temp salary/ Intern salary

    

§ Provide monthly attendance records and monthly commission/allowance to vendor.

    

§ Confirm salary details with HRBP and send to vendor

    

§ Check external staff monthly salary payment from vendors, and arrange payment via VIM by month.

    

    

Internal Communication

    

Plan, organise and implement engagement events.

    

Collect and composing monthly newsletter, and other required key personnel movement announcement.

    

    

Recruitment

    

Support intern and temp hiring for office population.

    

Follow policy to pay for recruitment agency fee via PO or VIM.

    

Create new vendor account in SAP for rental or recruitment purpose;

    

    

Others

    

Support the leader and the HR team on any ad-hoc topics or projects by request.

    

    

Requirement

    

Bachelor degree or above

    

Minimum 2 years’ experience in the HR function

    

Familiar with country’s labor law & personnel regulations is preferred

    

Familiar with SAP system is a plus

    

Good data analytical skills, experience in data analysis is preferred.

    

Excellence communication skills in both English and Chinese.

    

Ability to work under pressure and work with various departments and foster teamwork spirit.

    

Excellent interpersonal qualities, including problem solving and strong partnership skills.
