PRINCIPAL DUTIES AND RESPONSIBILITIES
Purpose of Position Processing of Customer Bookings or Orders within the applicable guidelines whilst at all times ensuring total Customer Satisfaction and Operational Excellence through flawless communication and operation.
Tasks Import To follow up on Arrival Notice and correctly process inbound orders in line with received timeline and orders/guidelines.
Prepare arrangement for clearance and delivery.
Feedback to Customers and PA overseas stations on executed activities and incurred charges.
General Duties Ensure Customer Satisfaction and Customer retention by providing timely, friendly and excellent Customer Service.
Perform all tasks/activities within SOP and quotation from M and PA overseas offices.
Check and verify correctness of received shipping Instruction and clearance documents.
Create and forward complete full and clear instruction to Document Processing department and assist when necessary.
Ensure correct physical file content before handover to Document Processing.
Work within Area guidelines and Company's policies and procedures by accurate use of existing systems.
Update relevant internal/external application(s).
Act as escalation contact to all Customers when issues arise – regardless whether CS or DP issues.
Carry out improvement / changes on procedures and systems as proposed by supervisors.
Inform supervisors of any irregularities or problems that require assistance and to feedback on subcontractors’ standards and services.
Feedback pre-claim details and status to customers.
To take up additional tasks as assigned.
Back up for other team members when necessary.
Authority to decide Making decisions in view of IMS processes.
Taking actions in view of operational excellence.
Exception handling ONLY after consulting with Document Processing Supervisor.
JOB SPECIFICATIONS FOR SUCCESSFUL PERFORMANCE
· ACEDAMIC
College degree or above, Aviation, Transportation or Logistics is preferred
· SKILLS/KNOWLEDGE
- Good knowledge of PC skill including Word, Excel and PowerPoint
- Have more than least 5 years correlative working experiences in logistics and freight forward industry.
- Excellent management, leadership and organizing skill and good project control, Negotiation, presentation and good computer and English skill.
- Good communication and interpersonal skill
- Must be able to read, write, and communicate fluently in both English and Chinese
· SPECIAL SKILLS/KNOWLEDGE
Requirements &Skills Functional requirements Excellent and thorough knowledge of Air Export and Air Import.
Operational know-how (Customer Service and Document Processing) Excellent knowledge and understanding of Customer Service requirements and general Documentation guidelines.
Comprehensive understanding of PA systems functionality.
Proficient in basic IT Tools.
Personality traits System (Internal) focused Able to work in a diverse environment and cultures Communication &Interpersonal skills Work experience Industry experience (1-3 years) Language skills: Fluent in local language and English.
Good interpersonal and communication skills.
Ability to communicate effectively, both orally and in writing.
