职位描述
Job Responsibility:
Assistant to GM:
- Manage GM's calendar, schedule domestic/overseas travel arrangements, typically involving multiple changes and destinations; support with travel documentation and procedures, think and plan ahead.
- Provide support in the areas of commercial, public and community relations.
- Provide general administrative support to GM, including reporting, paper translation, maintaining up-to-date contact database, document filing/reimbursement etc.
- Take control of the management of specific projects, as directed by GM.
- Coordinate other business activities related to JV.
- Be responsible for arrangement and communication with UK Costa.
- Other tasks assigned by General Manager;
Administration:
- Managing office administration and office expenses budget.
- Facility maintenance, receptionist management, expressing delivery management, car rental and etc.
- Work closely with travel agency for support center travel tickets, accommodation arrangement.
- Arrange and coordinate meetings/conferences in liaison with other teams/executives or external parties, take meeting minutes and follow up on action items.
- Office renovation project, relocation and lease contract management.
- Assist other executives for travel arrangement
Property & Operations Support:
- Manage property filing system.
- Facilitate smooth communications between Property team and other companies or business units.
- Coordinate leasing contract sign-off process and documentation preparation.
- Communicate internally and deliver the required message to Operation Team.
Others
- Plans, organizes and schedules own workload so that above activities are completed accurately and on time.
Job Requirements:
- Bachelor degree or above
- Working experience in multinational companies with minimum 3 years in supporting sr. executives
- Knowledge & experience of reporting and analysis
- Knowledge of office management principles and procedures
- Ability to plan, develop, and coordinate multiple projects.
- Excellent interpersonal skills at all levels
- Strong influencing skills
- Strong oral and written Communications
- Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
- Skill in organizing resources and establishing priorities
- Strong personal values and high levels of integrity and loyalty
- Understanding of Business strategy
- Experience in the F&B retail industry
- Conflict resolution and/or mediation skills.
- Advanced knowledge of Microsoft office (Word, Excel and PowerPoint)
