职位描述

工作内容:

1. Routine Administration

- Oversee stock of office supplies (daily use, planting, flowers, etc.), couriers / expressage handling and special deliveries upon requests.

监察办公室用品的存货,以及负责快递派发及快递件的处理和特殊包裹跟踪

- Responsible for the raw data management for all admin cost and handle the payment request accordingly. 负责建立现场所有行政费用数据表并处理相应付款申请

- Apply office admin checklist upon departures, transferees and make sear arrangement, prepare workstation, access card, etc. for new hires;

负责处理该办公室的新入职员工、离职、转岗时申请办公室行政服务申请,做好相关安排,比如准备工位、门禁卡等;

- Administration of company equipment and facilities e.g. door access code, CCTV system and all office machines and furniture;

管理办公室设备和设施,如门禁、监控设备和其他所有办公室设施及家具

- Take the responsibilities to manage the office facility / equipment maintenance and minor decoration.

负责办公室相关设备的维护工作和局部小翻新

- Be in charge of on-site FM service; include service staff, cleaning Ayi and security guards for office daily work. Monitor their job and facilities repairing and maintenance;

负责现场设施设备服务团队管理,包括业主驻场服务团队及现场阿姨、安保的日常工作安排;

- Responsible to liaise with building management e.g. maintenance of building drainage & others;

负责与物业保持联络,例如维修大楼的排水系统及其他事宜;

- Implement office administrative policies, and supervise staff on office discipline. Moreover, establish administrative standards and procedures if needed.

执行办公室行政管理政策, 监督员工遵守办公纪律;并根据需要更新和制定新的标准和程序;

- Assist admin leader for manage and review venders/suppliers’ service, report to management on a regular basis. Provide Day-to-day admin support and implement the other assignments instructed by supervisor.

- 协助行政负责人管理供应商服务,定期汇报工作;提供日常行政支持并完成主管布置的其他工作。

2. Coordinate all internal events and other activities

- Collect staff comments, select appropriate vendor in designing & preparing office decoration for office, like Christmas.

收集了解员工的意见,选择合适的供应商为办公室节庆布置进行设计和准备;

- Coordinate with all supporting staff & internal user in designing & executing all internal events, including but not limited to all kinds of free breakfast, conference, workshop, cocktail or other less formal events.

与所有服务团队和内部用户协调和执行所有办公室内活动,包括但不限于免费早餐、每日午餐供应、茶歇、或其他娱乐活动

- Perform other related duties as required

要求:

4. Planning/Organizing – Use time effectively. Provide organizational support to complete administrative tasks correctly and on time. Be integrate and contribute in team, readiness to cooperate, helpfulness and good communication & interpersonal skills.

5. The successful candidate should demonstrate a college degree preferably with a major in English or Administration. He/she should be able to speak and written basic in both English and Mandarin. Prior experience as Receptionist and/or in administration is a plus. Related working experience for at least 3 years or above in MNC will be preferred.
