职位描述
JOB PURPOSE:
This individual provides secretarial and administrative support to the Head of Supply Chain China, performing a variety of administrative, coordinating and logistical services in support of the operation of the team.
ORGANIZATIONAL CONTEXT:

SUPERVISED RESOURCES:

KEY ACCOUNTABILITIES:
? Manages the day-to-day administrative activities of the department head by updating weekly travel plan and daily meeting schedule while making adjustments based on changing priorities and scheduling conflicts.
? Organizes meetings, including but not limited to, contacting participants, preparing documentation for distribution, and coordinating administrative and logistical arrangements.
? Assists in developing annual budget by updating all budget files, coordinates the OPEX collection from all teams of the department, assessing and making appropriate recommendations to the department head on expenditure levels and other related financial issues based on analysis of previous yearly trends and expenditures.
? Monitors budget implimantation by pre-validating travel applications/reimburstment reports/purchasing orders in systems, and reviews monthly report with controller.
? Acts as the coordinator of document or online approval process and remind the department head of validating.
? Assists in the orientation and departure process of employees.
? Commucates and provides advice/guidelines for the team on company new policy interpretation.
? Maintains departmental records, documents and reports in preparation for internal audit.
? Provides administrative support to other tasks which may be assigned.
JOB-HOLDER ENTRY REQUIREMENTS:
Education
? Minimum bachelor degree.
Experience & knowledge
? 3 years+ experience in multi business/function organization in MNC.
? Excellent English in speaking and writing.
? Good understanding of MS Office suite: Outlook, PowerPoint, Excel, Word.
Core competencies
? Ability to multitask and prioritize daily workload.
? Proficiency in collaboration and delegation of duties.
? Good interpersonal skills.
