*职责说明(Job Description):

Role Purpose 职位目的:

? To provide administrative and logistic supports to the department staffs to ensure the timeline of regulatory objectives are fully met.

? Proactively deal with issues using initiative and knowledge to bring resolution.

? Work with confidential information requiring a high degree of integrity.

? Share best practice with other secretaries/admins and work together to solve issues

Key Accountabilities/Responsibilities 主要工作职责:

1. To provide executive administrative support to Greater China Consumer Health Regulatory Affairs Dir., including full diary management, complex travel, preparation for meetings, year planning, reimbursement submission, delegate for GSK HR & Finance systems

2. Create/maintain organizational information e.g. Organizational Chart/accurate distribution/contact lists etc

3. Custodian of shared server area, team sites and systems

4. Organize team meetings / events / workshops / conferences which relate to the requirements of RA Dir.; Support meeting room facilitation.

5. Co-ordinate recruitment processes and ensure on-board support for all new staff, eg, application of employee account/ application of laptop/ arrangement of the induction program

6. Place PR/approve invoice in eform system and track payment status when required

7. Make business trip arrangement including reservation of hotel and air ticket & visa for team when required

8. Co-Work with the other administrators/coordinators to ensure statutory and operational tasks are allocated across the team and executed e,g Stationery booking, drawers allocation, document typing, photocopying and filing, Fire Drill coordination

9. Provide information to other administrators/coordinators to assist in the maintenance of accurate year planner of key events, staff records, distribution lists, organisation charts, contact lists, expenses, etc.

10. Support management of department assets

11. Support Logistics for international and domestic deliveries, including the S&EC screening; coordinating with agent for the custom clearance of the samples

12. Support documentation archiving

13. Database administration support, eg. Maintain the intra-information and reminding team member to update the products registration tracker.

14. Complete other miscellaneous tasks assigned by the superior manager.

3. Bachelor degree with medical, pharmacy or related technical background is preferred

4. Careful and cautious working attitude
