Major responsibilities:
Duties and responsibilities include, but are not limited to:
· Manage, supervise, coach and motivate the administration team to ensure the efficient and effective management of day to day operations to support whole ITBA China staffs(780 employees till end of 2018), manage daily operation and ensure smooth running of all sites, ensure all sites running follow administration policies and procedures, to create a secure, friendly and efficient working environment in all offices within China region.
· Establish effective administration policies and procedures, monitor the execution, continuously improve and optimize such policies and procedures, in order to ensure the standardization and effectiveness of administration management.
· Providing management direction for all facility/administration management, including but not limited to, soft services (Cleaning; Security; Shuttle Bus; Receptionist; Landscaping; Office equipment; Pest control; Mail; Stationary etc) and hard services(Utilities; Electricity; Building etc).
· Be responsible for the management of ITBA Fixed Assets(2547 items with value about 17,900KCNY till end of 2018), monitoring the new FA booking and FA transferring to make sure the owner is correctly booked in FA DB.
· Take care of Business License and all company related files.
· Accomplish Shanghai office and branch office establishment, innovation, expansion and reconstruction projects along with corporate strategic objective, to meet needs from business departments
· Provide logistic support. Ensure travel service to be transparent, professional, standardized, efficient, in order to meet needs of business department and other supporting function.
· Manage vehicles and drivers, to meet office staffs, customers and HQ visitors' transportation needs.
· Branch offices related matters such as maintenance, various supplies, and other office fix assets
· Plan, organize, implement and coordinate company-level activities to ensure event and function's efficiency and effect.
· Provide administrative support and service to expatriates with visa application, accommodation, and all other related issues
· Provide administrative support to management team members as needed, including, but not limited to, maintaining files, making travel arrangements, typing minutes, etc.
· Oversee billing approvals and expenses and liaise with accounts payable
· Provide practical advice to improve office administration management
· Take and implement projects when necessary
· Support Business Operations Manager for ad-hoc projects
Candidate profile:
Education
University degree or above
Experience
· Highly exceptional individuals with at least 5 years experience in the Facility Management with special emphasis in the delivery of Soft Services.
· More than five years administrative Management experience ,especially experience in organization of big Event Management, and office decoration
