职位描述
1. Supports daily activitiesto Area Director and when need for whole team (including internal and externalmeetings, business trips, and participation to marketing or other companyevents).
2. Screens telephone calls,answers routine questions, takes messages and refers callers to an alternativesource in the absence of Area Director and team members.
3. Performs administrativeactivities for the Area Director and the team; Composes and types routineletters and memoranda; Maintains files of related correspondence, records, etc.Orders necessary office supplies.
4. Collects and screens in apro-active way before submission all expense reports and other written clearance to be approved; to anticipate request of clarificationand to highlight any abnormal figures, ensuring that all documentation iscompleted in line with Company Policies and Procedures; make interpretationwhere needed
5. Organizes or coordinatesactivities duly approved:
These activities may concern
- participation to International Congress abroad and may involve close relationship and follow-up with an external travel Agency duly approved by the Company ,
- participation to National Congress with the possible set-up of a company booth , organization of Satellite Symposium
- organization or coordination of Target Doctors meetings ( expert group , launch meeting , city symposium …)
In all cases , the job holdermust ensure that
- proper liaison is made between Marketing and Sales team (and other department if involved)
- logistic of these events is clearly worked out and proper Standard Operating Procedures followed to ensure that the events will take place in the most efficient and cost-effective way
6. Assembles and submitsrelevant sales data from files, etc. with good math/ statistical/number/reporting skills; coordinates and communicates among eachdepartment to guarantee the information/application forms exchange properly.
7. Is responsible for thebudgetary estimate supporting the PRF procedure of the company up to thefinal corresponding expenses reconciliation of the various events.
8. Manages in accordancewith Company Purchasing policy, Company Promotional Materials Procedure andfollowing the requests of the team duly approved the purchase of Promotionalmaterials (printing ,gifts , gimmicks…); ensures proper filing is done enablinga clear follow-up of inventory and distribution of the concernedmaterials
9. Executes in the mostefficient way the various missions to be entrust you (Typing and finalizing ofPresentations, Management reports , Budgetary or expenses reconciliation, analysis and surveys of various nature of direct interest forgroup)

Experience& knowledge:
Atleast 1 years experience in multi-national /JV company as administrator orassistant
