JOB SUMMARY
The purpose of this position is to manage events at a Client Campus in Shanghai, selling our services to the business and leading the events team.
THE ROLE
? You will have 2 direct reports (Event Supervisors), and will be working closely with the Events Operations Team who oversee room setups, AV and Catering.
? Your team is responsible for the planning part (customer relationship, coordination with different departments, overall organization, etc)
? Our Client functions on a seasonal cycle, the main internal events have to do with Sales (Apparel sales) There are 4 large events that happen every quarter. Aside from this are a series of ad-hoc events (meetings, lunches, tea breaks, etc) that need to be arranged.
? We aim for the business to do more events in house, therefore establishing strong relationships with the business, understanding their needs and “selling” them the in-house facilities is a key part of the role
ESSENTIAL DUTIES AND RESPONSIBILITIES
? Leads the events planning team (In-house events)
? Collaborates closely with Events Operations team, as well as the wider Workplace team.
? Supports the off-site events team as required
? Empowers the Events team to take initiative and develop creative solutions.
? Manages and coaches team to deliver excellent service levels for the client within budget.
? Manages vendor partners for events services
? Develops and maintains positive client, team and vendor relationships.
? Ensures contractual KPIs and SLAs are maintained.
? Adheres to “One Team” and “Pro-active service delivery” culture.
? Periodically suggests adaptation of policies and procedures.
? Prepares monthly reports on Events.
? Other duties may be assigned.

QUALIFICATIONS

? Minimum of 3 years directly related experience in hotel events, preferably with some exposure to Event agencies.
? Excellent interpersonal, relationship management, and consultation skills required.
? Must be well-organized and able to prioritize multiple tasks.
? Ability to work independently and exhibit a superior customer service attitude.
? Must have superior oral and written communication skills required- both Mandarin and English.
? Software competency: Microsoft Office.
? Practical knowledge in contract administration, regulatory/governmental codes and regulations are an advantage.
