职位描述
一、岗位描述 Job Description
1. 为总经理及副总经理提供专业的秘书工作,以确保沟通的有效性及事务的保密性。Provide professional secretarial support to GM and DGM to ensure effective communication and confidentiality are maintained at all times.
2. 协调总经理及副总经理的各项行程安排,包括出国签证的申请,会议及预约的安排,以及车辆的协调。Coordinate and schedule the GM and DGM's travels, visa application for traveling abroad, meetings and appointments as well as car pick up arrangement
3. 须有独立思考及判断的能力来安排事务的轻重缓急,以保持总经理及副总经理与各部门经理、客户、合伙人之间沟通的有效性。Provide assistance using independent judgment to determine those requiring priority attention, prioritize, channel, and facilitate communication among function heads, customer and business partners
4. 收集及分析各类信息以便为总经理及副总经理起草通知、信函、报告、演讲稿、演示文稿及各种新闻的发布。Gather, compile, verify, and analyze information for GM and DGM to use in documents such as memos, letters, reports, speeches, presentations, and news releases
5. 为总经理及副总维护邮箱内的通讯录。Maintain GM and DGM’s contact list in Outlook
6. 同时负责总经理及副总经理的费用报销及付款申请,另外也包括私人费用支付如各类账单、预约及宴请。Process and track GM and DGM’s expenses reimbursement, company bill payment requests, including lots of personal matters, including paying bills, making appointments, arranging entertainment, etc.
7. 协调中国区高级管理团队的出差行程,包括但不限于签证申请、酒店预订。Coordinate and schedule the China senior management team members for business travels, visa application, hotel bookings, etc.
8. 负责内部员工及外部访客的出入境安排。Arrange internal and external executive visits for incoming and outgoing overseas
9. 准备区域会议的议程及会议记录。Prepare agenda & minutes for regional management meetings
10. 其他总经理及副总经理安排的工作。Perform other related duties assigned by GM and DGM.
二、岗位要求Quality requirement
1. 学历 Education degree: 本科或以上学位University degree or above preferably with secretarial training
2. 外语水平 English level:流利的英语口语及书写Excellent command of written and spoken English and Chinese
3. 计算机水平 PC level:熟练运用PPT、Excel、Word Excellent command of PowerPoint,Excel and Word
4. 相关工作经验/年限 Working experience:三年以上跨国公司工作经验Minimum 3 years solid secretary experience in multi-national companies.
5. 专业知识与技能 Specialty knowledge & skill
6. 其它相关能力 other competencies
