? Based on the client sites and support the day to day operation of facilities management, Including soft and hard service.
? Support on cleaning (incl. pest control), indoor plant, mailroom, reception, coordination of repair and maintenance, etc.
? Handle and close the service requests (such as office services, food services, security services, etc.)
? Assist on spending and budget tracking and control, create and follow up on the PO to the vendors, check vendor invoices and handle payment to the vendors. Payment request submission to the client.
? Support on the space management, regular audit and updating of office occupancy
? Coordination with regional team and assist on the operational reporting and updating.
? Co-ordinate HSE issues.
? The management of sub-vendors, such as cleaning/landscaping/PPM.
? Coordinate with building management office about payment issue, communicate about complains and service improvement.
? Assist in office-wide events such as office parties or external client events as requested.
? Coordinate for energy and environmental safety procedures.
? Assist Soft Service Lead coordinating HR related issues.
? Greet customers/guests and inform the receiving department to meet the customers/guests in a timely manner.
? Answer telephone calls and take down messages and ensure the messages are forwarded to the respective receiving office(s).
? Manage booking meeting rooms and related set up.
? Stationery/Beverage delivering ordering and record.
? Manage mail and shipping and keep record.
? Other task assigned by Facilities Services Manager.
? Hands-on experience in vendor management
? Excellent communication skill, interpersonal management, and consultation skill.
? Must be well-organized and able to prioritize multiple tasks
? Superior oral and written communication skills both in Mandarin and English
? Software competency; word, excel and power point etc
? Team work, positive attitude
Qualifications and Education:
? University degree
? Minimum 2 years directly related experience in Facility Management or administration support experience
