Position: Secretary/ Assistant, Faculty Office of Arts and Humanities (Ref. AD12058)
Location: Ningbo

Qualifications:
Essential: Bachelor's degree; Very strong spoken and written English language skills; Good English communication skills; Proven IT skills, including using MS Office applications and Excellent interpersonal skills are essential; Ability to prioritise workload; Experience of using database systems for data management is desirable; A strong team player who works collaboratively in a multicultural environment; Responsible and trustworthy.
Desirable: Master's Degree; Overseas study experience; Advanced planning and organisational skills; Ability to work well under pressure; Ability to work independently and proactively within a team; Ability to work accurately and to deadlines are essential; Experience of working in an international setting and/or education organisation; Ability to work at weekends or during holidays occasionally if requested.
Salary & Benefits: RMB67,000 - RMB116,000 per annum, depending on qualifications and experience.
Main Duties and Responsibilities:
1. To support teaching and learning
- To respond to student enquiries;
- To support coursework submission and distribution, module registration, exam administration, distribution of text books/module outlines, seminar group allocations, student registration, etc.;
- To receive and process student feedback, appeals and complaints;
- Interrogate and interpret the University's student records database to provide accurate student, module and course information as required to produce transcripts, letters and other paperwork;
- To proactively liaise with academic colleagues to collect, collate and circulate relevant information.
2. To support outreach activities and events
- To provide administrative support to off campus lectures, conferences, symposium, workshops and any relevant internal and outreach activities and events for the school/division;
- To support the preparation of Open days;
- To help organise events;
- To coordinate and translate relevant documents, and provide interpretation where appropriate;
- To provide smooth paper workflow, including expense claims, conference attendance grant forms, etc.
3. To support research
- To provide research support, including preparing and circulation supporting papers.
4. To plan and organise exam related works
- To plan and organise the timeframe of the assessment tasks within the school/division;
- To ensure the accuracy and promptness of information flow among different departments, campuses and representatives;
- To schedule and confirming important dates for whole assessment procedure;
- To build the comprehensive assessments database of students
- To provide administrative support to exams, exam boards, and any relevant internal and overseas exams for the school/division;
- To coordinate and liaise with school/division exam officers, external examiners;
- To provide accurate exam related information to other offices/departments/campuses.
5. General administrative support
- To organize meetings, take meeting minutes and provide necessary translation and interpretation;
- To maintain database and play an active role in school/division documentation;
- To update school/division website;
- To receive and arrange schedules for visitors, including booking hotels, transport, etc.;
- To respond enquiries from parents and outsiders in a professional manner;
- To liaise with other campus, office, school/division to ensure appropriate flows of information and that there is a mutual understanding of relevant systems and processes;
- To participate in training and staff development, as trainer or trainee as appropriate, to develop and foster relevant expertise and awareness;
- To maintain a proactive and flexible approach to delivering work objectives and assisting other team members as and when appropriate;
- To maintain appropriate professional development, expertise and awareness;
- To undertake other tasks and responsibilities as may reasonably be required.
