Personal Requirements:
· More than 2 year experience focusing on administration work

· Good computer skills in MS Windows, MS Office, and internet platform, etc.
The Main Responsibilities:
Office Administration
· Pick up phone calls record the phone call messages on the switchboard and forward to the correct persons.
· To collect and distribute the postage stuff and express mails.
· To order office stationary and other daily office consumptions
· To supervise office cleaning and ordering daily fruits/drinking water
· Business card ordering and printing; Contact List and according to HR’s memo.
· Visitors' reception(introduction; hotel and transportation’s arrangement; etc.)
· Keep office equipment maintenance
· To collect, check and allocate monthly office bills(Office expense, Air ticket expense, Car leasing, Expats house leasing, etc.) and inform Accounting Dept. for the payments on time
· To arrange expatriates’ registration; renew and cancelation (working visa; residence card; apartment; transportation and school arrangement; and other daily issues)
· Visa application for customers and visitors from abroad
· To coordinate staff's travel insurance claim
· Assisting on telecommunication matters
· To arrange and coordinate office activities ( monthly birthday star party, outing and Union cultural activity. etc)
· To manage the employee’s account in FCM(travelling system), order laptop and apply for Token for staffs etc..
· To keep in touch with office property management office and office stuff suppliers
· Other related office administrative work
Finance Support
· Upload the invoice specification and issue VAT invoice for vehicle, parts and services, then send the invoice to dealers or customers.
· In-put VAT invoices verifying on-line for approval;
· Tax authorities daily work: import customs VAT key-in and upload to tax system, register the contracts information for stamp tax, purchase VAT invoices and overseas contract register for withholding taxes in tax authorities etc.
· Accounting voucher's filing;
· Basic/simple operational work with the banks, like print bank slip etc.;
· Admin related work of Fin interacting with other dept, like collecting payment claims/ staff claim to post together to Shanghai and company chop on documents.
