Job Description
As Project Coordinator for the Application Center in Asia (ACA) you should support the project team in daily administrative work, forecasting of project costs and the analysis of monthly project results vs. budget. Furthermore you will support the finance team in basic administrative tasks.
Mission:
Your mission is to support the project team in day-to-day operations and perform administrative functions concerned with a project. You will have to maintain good communication with inside sales of Customer Center (CC), the proposal team and the project team to assure a timely and efficient completion of project jobs.
Major Responsibilities:
You will be responsible for:
? Project support:
? Support the project team manager in monitoring status of open projects, update related reports together with Project Managers (PMs), such as monthly Accounts Receivables (AR) review reports, Final Acceptance/Handover (FA/HO) forecast reports, project monthly gateway analysis etc.
? Prepare cost overview (quotation file) based on latest version of project pre-calculation (PCW) and submit to CC for approval.
? Order Received coordination: Handle order from CC and pass on to the project team. Ensure project costs are correctly booked and revenue is timely and correctly recognized according to contract terms with proper supporting documents.
? Create project structure and enter plan costs as per pre-calculation in ERP system
? Change requests: Adjust quotation file in case of changes after kick-off.
? Review and update project progress periodically together with PMs, identify project risks and make sure project delivery is on time.
? Update project progress according to weekly project meeting and distributed project list to all departments.
? Payment issue tracking before delivery.
? Support PMs in other daily administrative work, such as updating simple parameters of project status in SAP, shipment list preparation, basic project binder preparation, etc.
? Finance:
? Create Project Sales Order (SO) and final invoice in ERP system (Orders Received & Orders Invoiced)
? Credit control and dealing with Bank Acceptance Draft (BAD), working with Production Control & Purchasing (PCP) team to transfer BAD to suppliers as much as possible to minimize cash payment and risks
? Prepare weekly report for invoice status forecast
? Preparation of Day one report for Global Projects (GP)
? SAP:
? SAP key user for Project System module
? Solve basic problems for users and raise request in Solman when further support required
? Attendance of Key User meetings (bi-weekly)
? Training of users in SAP PS module
? Workfront
? Project creation in the Workfront system with Proposal Team
? Running project reporting based on the Workfont data
? Checking and fulfill customer’s input information for project analysis
? Work with system admin to improve Workfront efficiency and optimize project visualize in Workfront system
Education Requirements
? Associate degree, bachelor or above.
Experience Requirements
? Minimum 3 years administration experience in related projects and business.
? Familiar with daily administrative work and documentation preparation & filing.
? SAP using experience is a plus
Knowledge
? Computer literate with good knowledge of Microsoft Office, Microsoft PowerPoint, etc.
? Familiar with finance is a plus.
