POSITION SUMMARY
This position provides primary administrative support to Asia Learning & Development Lead across the region. This position ranges from planning, scheduling and organizing to problem-solving and decision-making on a number of different fronts. The technical nature of the work requires the incumbent to have ability to work successfully in the LSO, AP Share, and MTM tools, etc.
The incumbent is also responsible for organizing, scheduling and following up all training courses delivered in Asia as needed/required. This work is end-to-end work that crosses systems, administrative, vendor and people work. It requires maturity, good judgment, cross-cultural skills, ability to make decisions and ability to balance a consistently high workload. This role also requires the ability to effectively communicate (verbally and written) in English as well as Mandarin.
NATURE AND SCOPE:
This is an individual contributor role. Administrative in nature, the role encompasses a wide variety of work on a day-to-day basis with many “moving parts” and people. On a day-to-day basis, the incumbent may interact with people at various levels of the organization, including senior managers.

Training Support Role:
Schedule workshop dates by inputting training course information into LSO system, monitor course enrollments to ensure classes operate at maximum capacity to keep costs low. Confirm course bookings through LSO and by Outlook calendar notifications, send pre-work to participants. Prepare class roster for instructor; follow up on completions in the LSO system to ensure participants receive qualifications. Run pre-booking reports to view waitlists and determine whether to schedule additional course(s) based on lists.
Purchase Order Requisitioning:
Set up PO’s in SAP to ensure vendors are paid appropriately based on contractual agreements and in a timely manner. Determine best type of vendor processing (eForm, PO, etc.) is most relevant for vendor based on contractual agreements. Monitor vendor payments, problem-solve with Accounts Payable when issues arise. Work with new vendors to set them up in the SAP system properly. Maintain all vendor contracts, monitor contract expirations. Run monthly costs reports for Manager and monitor budget based on work order agreements. This work is self-directed.
AP Systems:
AP Share Sites:
Responsible for maintaining relevant materials (training documents, content, lists, etc.) on the team share site. Ensure materials are updated as needed.
Metrics that Matter:
Reporting role – run Class Summary reports for all courses held in Asia so that the program manager can make decisions on improving the quality; communicate the MTM results with training vendors in Asia and take appropriate actions if results are not satisfied. This work is self-directed.
Vendor systems:
MultiRater System Administrator (Kenexa system) for Asia:
Provide administrative back-up to Global Administrator. Enroll Asia MFP participants in Personal Development Assessment for Managers/Supervisors (required prework for MFP). Incumbent enrolls, monitors, communicates to employee/primary manager, and troubleshoots issues with system or process.
Coordinator Role:
Primary regional support for MFP:
In this work, the incumbent partners with the MFP faculty in Asia. Responsible for:
? Working with manager to plan, schedule and organize program dates/rooms/equipment/materials
? Communicate with global materials manager in US to ensure materials are shipped and received as expected.
? Arrange for hotel, lodging, etc. as needed; Work with the procurement team on signing contract
? Prepare communications packages for participants and send according to schedules
? Work with manager to prepare materials and ensure materials are received and ready for the program date.
? Set up classes in LSO, follow up in LSO to provide completion qualification for participants. Plan and coordinate dinner reservations and pre-ordered meals
? Assist MFP faculty with planning and implementation of capstone event.
Coordinate all other training courses and assigned projects:
The incumbent plays the key role in organizing and executing non-MFP course offerings as well as related projects. Produces LSO reports, MTM reports, and cost data to help team determine plans for upcoming FY. When plans are firm, takes ownership for securing vendors/trainers, training rooms, inputs LSO information, training schedules. Inform nominated participants to confirm the attendance and invite more from waiting list to optimize the class size, which keeps our cost of operations down.
Ensures materials are on hand as needed and monitors existing inventory – with a goal of keeping a minimal inventory on hand and reducing our costs. Starts the day by checking in with each instructor prior to class beginning to ensure instructor has everything needed and there are no equipment issues.
Monitor Asia Learning & Development Mailbox: Perform single-point-of-contact role for Asia region. Daily monitoring of the regional mailbox to ensure quick response to employee questions related to L&D offerings, etc. Redirect questions and help clients find out solutions with customer-oriented mindset. Resolve any issues brought to your attention quickly and responsibly.
Administrate the Global Tuition Reimbursement Program:
Assist the policy owner to answer inquiries from internal clients regarding the Tuition Reimbursement Program. Maintain and update the applicants’ information and quarterly send report to the policy owner for tracking. Follow the policy and process to help applicants get enrolled into the program, sign service-obligation form and claim reimbursement, etc.
Requirement:
? Bachelor degree, 1-3 years HR related working experience
? Quick learner and eager to learn
? Good at planning and work with schedule
? Customer oriented and have good interpersonal skills
? Excellent in both written and oral English
? Good at Excel and PPT, and have sense to numbers
