Job description:
? dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
? manage and coordinate Company Secretary (i.e. Board of Directors minutes and writings) and other Company documents;
? support Unit of the company with translation and other liaison work activities;
? devising and maintaining office systems, including data management and filing;
? arranging travel and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
? organizing and maintaining diaries and making appointments;
? eventual transcription and distribution of minutes of meetings;
? producing documents, briefing papers, reports and presentations;
? general services activities, including but not limited to repair and maintenance of office equipment, stationery purchase, office cleaning and decoration, property management relation;
? other related duties as assigned by the GM or Management.
Job requirements:
? Knowledge, qualifications and experience:
? University degree;
? Minimum one years working experience (i.e. as a secretary for Senior management or for a project team);
? Fluent English, both in oral and writing;
? Proficient in using Windows Office, power point for presentations, outlook or similar e-mail system.
? Personal skills and characteristics:
? Must be able to maintain confidentiality.
? Promotes a professional company image through in-person and phone interaction.
? Flexibility, problem solving. Interpersonal and intercultural skills, resilience.
? Possibility to work flexible hours in order to communicate with foreign in case of need would be appreciated.
