SERVICE PURPOSE:
· To provide administrative support to Legal Pharma and CHC China team in order to achieve the team performance target;
· To provide legal administrative and process coordination to the above-mentioned teams;
· To manage and maintain the legal operational systems;
· Other tasks delegated by line manager or department head.
KEY ACCOUNTABILITIES:
· To provide administrative business support to legal team, including but not limited to:
- Typing, scanning and photocopying documents;
- Collecting and distributing daily office correspondences;
- Handling budget application, reimbursement and invoices for the team;
- Coordinating internal and/or external meetings and travel arrangements for team members
- Taking meeting minutes upon request;
- Subscribing publications, books and/or stationaries.
· To provide auxillary working support, including but not limited to:
- Drafting office correspondence within the team;
- Providing translation for legal / non-legal documents under the supervision of an in-house lawyer;
- Assisting contract audit by the team.
· To provide legal administrative and process coordination, including but not limited to:
- Managing the filing and document retention system for the team;
- Assisting training, seminar and/or workshop materials preparation;
- Assisting company registration related legal matters, such as change of Board members, annual review of branch offices.
· To manage and maintain the legal operational systems, including but not limited to:
- Managing and maintaining the contract approval system;
- Managing and maintaining the company chop system.
SERVICE PERSONNEL ENTRY REQUIREMENTS:
Education:
Bachelor degree or equivalent
Experience & knowledge:
Relevant working experience is a plus
Core competencies:
· Good communication skills in both English and Chinese (written & spoken)
· Computer literacy, familiar with all Microsoft applications (WORD, EXCEL, Powerpoint)
· Well organized, good at filing, self-motivated, hard-working, detail-minded, team player and ability to work independently under pressure with minimum supervision.
· Good command of data analysis capability is preferred
