Main Responsibilities:
1. Office Facility, Services & Security maintenance:
Maintain office daily operation in cost effective & eco-friendly way; control office related expenses and generate routine spending/analysis report; set up uniform standards and tools for Beijing and Shanghai Office to keep consistent company image. Keep office general service in consistent level.
2. Business Travel &Event organization:
Maintain and manage flight application process, flight change process, employees and visitor visa application inbound and outbound; Organize company level meeting, training events, regular management meetings, Contracted hotel update and negotiation throughout China;
3. IT regulation and mgt:
Set up IT regulations and process, maintain stable & secure IT environment to support efficient business, keep assets booking within budget, keep IT room with global standard, provide desktop solutions with user’ request.
4. Sourcing and Purchasing:
Carry out vendor sourcing with stakeholders’ detailed requests, comparison and screen candidate vendor with best function and cost, yearly performance review, contract negotiation including legal, IT, Admin, marketing, translation, travel agency service vendor ect.
5. GM assistance:
Assist and arrange GM on related business travels & meetings, expenses reports, visa docs preparations, Corporate senior visitors’ accommodation and logistics.
6. Office Expansion & Relocation:
Strategically plan for office space & expansion and lease renew including office building options inspection, total budget plan draft and preparation, Lease term negotiation with landlords with lawyers, Design, construction under company image guideline and core values, carry out moving on exact planned dates with good communication and coordination among relevant teams.
7. Admin team leader and training:
Lead the Admin team to deliver excellent internal services to relevant stakeholders, develop members to learn at work, build healthy and positive team culture and improve team efficiency.

Requirements:
1. Fluent in written and spoken English.
2. Proficiency in office software.
3. High self-motivation, problem solving attitude, quick in action, good team leader.
4. Bachelor's degree or above
5. 5+ years Admin function and 3+ years management experiences.
