Job Description
Job Title : Associate Project Manager
Department : MSO-PMO(Project Management Office)
Job Location : Shanghai
Report to : Associate Director, Program Management
Subordinate : None
Job Purpose
This position will support/work with experienced Project Leader to lead & manage the strategic project, program or portfolio over the project initiating, planning, execution, monitor & control and closure, while building up the capability of organization on project, program & portfolio management through advocating the culture and training or mentoring the project managers within BD China, developing the general process, template, tools & technical and best practices sharing on project management. Also, it is a great chance to work with cross function and cross region experienced talent on the project running, great chance to utilize the generally recognized project management process, tools and technical based on Project Management Body of Knowledge, known as PMBOK, by PMI/Project Management Institute of USA.
Job Responsibilities
Project Initiating (take supporting role)
? Understand the business strategy, constraints, assumption and requirement to prioritize the potential project/program from the over portfolio
? Streamline and scope the project/program, make a clearly mapping between project scope/deliverables and requirement from business strategy & initiatives
? Develop the Business Case and justify the prioritized project/program from business, financing, operation and project management perspectives
? Closely communicate and manage the Stakeholders on project initiating and justification
Project Planning (take supporting role)
? Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project,
? Streamline the dependency of project activities, define and manage the project critical path and key milestones
? Determine the resources (time, cost, equipment, etc.) required to complete the project
? Develop a schedule for project completion that effectively allocates the resources to the activities
? Review & align the project schedule with senior management and all other stakeholders that will be affected by the project activities
? Determine the objectives and measures upon which the project will be evaluated
? In consultation with the appropriate manager, recruit, interview and select members with appropriate skills for the project activities
Project Execution (take Supporting role and can be leading role)
? Execute the project according to the project plan
? Develop forms and records to document project activities, alignments, progress
? Set up files to ensure that all project information is appropriately documented and secured
? Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
? Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
? Review the quality of the work completed with the project team on a regular basis to ensure that it meets the project standards
? Manage project members to take accountabilities on assigned tasks
? Ensure that all project members have clear awareness and understanding on this project
? Manage the consultants (if any) to work on time on target
Project Monitor & Control (take Supporting role and can be leading role)
? Write reports on the project for management and for sponsor
? Monitor all budgeted project expenditures and submit to management for approval
? Manage all project expenses according to company policies and procedures
? Ensure that all financial records for the project are filed and up to date
? Ensure that the project deliverables are on time, within budget and at the required level of quality
? Identify and manage the potential risk timely over the project life cycle
? Review and manage the potential changes timely over the project life cycle
Project Closure (take Supporting role and can be leading role)
? Confirm and ensure all activities was fully closed, especially for purchasing or contract related activities (if have)
? Recap the lessons learned from project life cycle,
? Sharing the best practice over the organization for benchmarking
? Summarize and categorize the project documentations as an important Organization Process Assets (OPA)
? Coordinate the celebration, awards and communication with the official closure of project
Fundamental and routines jobs (take Supporting role and can be leading role)
? Develop and maintain the Project Master Schedule file in MS-Project
? Organize and maintain the other project related documents in MS-SharePoint
? Develop and maintain the meeting notes in MS-OneNote platform
? Coordinate with project team for project required meeting/conference
? Work and follow up with cross function/project team for specific problem solving
? Share the lessons learned and best practice with the associates within/beyond the project
? Train and share the project management knowledge and skills to other project oriented associates
? Develop and maintain the Organization Process Assets (OPA), and build a fundamental Process, Template, tools and technical of Project, Program and Portfolio Management
Job Competency Requirements:
? Good communication and interpersonal skills, ability to communicate clearly and concisely, both orally and in writing
? Proven track record in managing small to medium sized projects, certified PMP-Project Management Professional by PMI is preferred
? Able to run on multiple tasks/projects at parallel, communicate with multiple stakeholders
? Fluent in English, both speaking and writing
? Bachelor Degree in Project management, Engineering, Supply Chain Management or equivalent
? Able to utilize the MS-Excel/Word, MS-PowerPoint application is a must, utilizing the MS-Project application is preferred
? Basic understanding of management-PDCA is a must, have a basic concept or acumen in Business Process is preferred
? Process oriented thinking, strong logic thinking, and results driven with attention to details
? Personal attitudes-“Can do”, “Get result” and “Get People better” is preferred
