Main Purpose of the Job:
This role will require the individual to work closely with the Support Team to provide general secretarial and administrative support to project team and the overall business.

Job Description:
- Organize team travel arrangements
组织团队差旅行程安排
- Preparation of agenda / papers for circulation at meetings / minutes / reports
安排会议议程,并记录会议纪要或报告
- Prepare meeting minutes for team meetings
为团队会议准备会议纪要
- Maintain a log of all clients and projects that the team is involved in; update this on a regular basis.
实时维护团队涉及的客户和项目列表,并更新
- Audio / copy typing of letters, memos, reports etc.
输入、复印信件、备忘录、报告等
- Photocopying / faxing
影印、传真
- Ensure all Marketing and Sales material issued is of high standard
确保所有提供的招投标及业务市场文件符合高标准要求
- Support team in ensuring that all compliance processes are followed on company systems
支持团队,确保所有管理流程的执行,包括各公司系统流程
- Compiling reports and presentations for the team
为团队编写及准备报告和演示文稿
- Responsible for ensuring all documents issued to clients (reports, emails, memos, letters proposals) are of high quality (check spelling, layout, presentation, formatting etc.), standardised where possible and meet the ARCADIS ‘brand standards’ (ARCADIS colours, font, formatting, logos etc.)
确保提供给客户的所有文件(报告、邮件、备忘录、信件)是高质量的(检查拼写、布局、表达、格式等),尽可能地专业化并符合ARCADIS标准格式(ARCADIS颜色、字体、格式、标识等)
- Fully understand and own the ARCADIS formatting brand standards for all output issued externally
完全理解及掌握ARCADIS所有应用在外部文件中的标准格式
- Support team in delivering excellent service by collating and managing proposal documents
通过整理和管理投标文件,支持团队提供优秀服务
- Proactive coordination of all administration procedures, guidelines and cut-off dates to ensure smooth running of administration for the team (monthly resource schedules, CVs, Project Appraisals, Project Insights etc.)
主动协调所有行政程序、指导方针和截止日期,以确保团队行政工作的平稳运行,包括每月人员资源安排表、简历、项目评估、项目分析等

Job Requirements & Person Specification:
- College or university degree, commercial education background is preferred
大专或本科学历,商务教育背景优先
- Above 2 years of related working experience;
2年或以上相关工作经验
- Good English and Mandarin, basic spoken English is a must;
良好的英语和普通话,基本的英语口语
- Be familiar with Microsoft Office applications;
熟练操作微软办公软件
- Well organized and able to multi-task, possess extreme attention to details;
处事有条理,且能同时处理多项任务,并十分注重细节
