Job Description
Job Title: Receptionist, Admin前台/行政助理
Location: Westinghouse China Office (浦东川桥路465号)
Report to: Admin Officer / EA
Summary
Provide receptionist and administrative support to management and staffs in an international company environment. Provide English and Mandarin interpretation and translation support as required. Ensure coverage and competent handling of secretarial tasks, including interfacing with visitors, company drivers, outside vendors, etc. Complete necessary payment requests, etc.
Duties and Responsibilities
? Answer telephone, screening calls and direct all incoming calls to the appropriate party promptly and efficiently relaying messages
? Welcome visitors and do the visitors management
? Provide logistic assistance to the visitors including accommodation and transportation arrangement
? Coordinate visitor itineraries and activities, as well as resolving visitor concerns
? Book travel and other logistic support for colleagues
? Perform typing, scanning, distributing letters, faxes, interface with outside vendors in ordering office supplies and other office needs, etc.
? Check all the facilities in office are well prepared and in good condition, such as chairs, cabinets, carpet, etc. every day
? Work with Ayi and security guys to ensure office routine work
? Handle business and administrative tasks of a routine nature
? Prepare letters, reports, documents of a confidential or proprietary nature utilizing various software packages and electronic mail
? Provide administrative duties and interpretation to the international team members and their family members
? Manage and keep all the business related documents in a good order for easier access
? Maintain the confidentiality of the office and documents
? Manage the company drivers daily schedule and resolve conflicts to support business needs
? Calculate driver’s work times and their charges (gas, parking, tolls, meals, etc.) and complete the associated payment request
? Complete other payment requests incurred in the office
? Assist EA to offer support to management team
? Undertake other necessary administrative jobs as required
Requirement
? Honest and diligent, and be able to work with complex tasks. College graduate majoring in English, Secretary or Business Admin
? 3+ years experience in a related administration position with international experience
? Strong sense of responsibilities and nice personality
? Take initiative in communication, be proactive.
? Must be capable of working independently with minimal supervision
? Good skill of communication and problem solving
? With effective English skill in both written and oral in addition to a full knowledge of Mandarin to read, interpret and write general business correspondence
? Proficiency in Microsoft Office
? Must be able to multi-task and establish/meet deadlines and priorities
? Must be able to work in an international team environment
? Willingness to work flexible hours including weekends and evenings as necessary to support business needs
