PURPOSE OF THE JOB
- To support IDS BU with full assistance in daily job
- To manage the office administration and company rules in the team to ensure its smooth operation
- Project Document Control
OBJECTIVES / KEY RESPONSIBILITIES
1, Prepare a variety of departmental reporting / presentation
- Gathering and summarizing information from various sources as requested. Send the administration reports to SE-BJ administration management level every month.
2, Office administration
(1) Office equipment and stationery purchasing
(2) Assist in monitoring cost of TJ office administration expense, purchasing, projects and department activities, two drivers’ travel and expense, and ensure that the invoices/bills are accurate, ensure proper coding and forwarding the invoices to accounts payable
(3) Office environment maintenance, receptionist & cleaning management, to ensure the office equipment under normal and smooth operation, and to make sure a clean and tidy working office environment
3, Provide good support to the department, share the company and departmental information with the colleagues, as well as the feedbacks
4, Help the new comers in their integration path
5, Communicate with other departments or externally with customers and suppliers professionally; may assist to respond and / or resolve internal / external inquires regarding problems, complaints and / or general information
6, May maintain the manager’s appointment calendars, coordinate telephone calls, faxes, and emails
7, To be responsible for monitoring and reporting department budget to help maintain operating controls
8, Organize team activities, trainings, and support on team-work building
9, Translate related documents as colleagues and project needs
10, Cooperated with SE-BJ HR specialist, FESCO agent & commercial insurance agent for TJ staffs’ insurance and other related works by month
11, Important customer visit and meeting arrangement
SPECIFIC ISSUES
Support all team members located in different locations.
POSITION OF THE JOB IN THE ORGANISATION
IDS assistant, and directly report to GM
INTERNAL RELATIONSHIPS
Support whole team under GM management, and cooperate with other BU colleagues
EXTERNAL RELATIONSHIPS
Arrange customer visiting and cooperate with vendors
REQUIREMENT OF PROFESSIONAL EXPERIENCE
REQUIRED EDUCATIONAL BACKGROUND
Bachelor degree or equivalent, or above in Languages, Business Administration, Industrial Relations is plus.
Good command of written English and fluent in spoken English.
CET-6
REQUIREMENT OF PROFESSIONAL EXPERIENCE
- Strong experience in assistant / office administration profession, related working experience.
- Willing to help others, to solve problems with initiative.
- Excellent communication ability - English language is highly required
- Practiced computer application (Word, Excel, and Power Point etc.)
- Inquisitive and highly motivational skills.
