Objective of Position
Follow company guidelines to provide timely and effective secretarial and administrative support to ME&EHSS Department
To ensure things are smooth and efficient
Main Responsibility
1. Support in supervisor’s office
- Exercise reliable personal judgment and act with tact to greet and screen visitors, incoming calls. Business contacts include persons at all levels within the organization, industry, and community.
- Communicate supervisor’s instructions to various individuals and/or departments, provide and obtain information from other managers.
- Organize and expedite flow of work through supervisor’s office and initiate follow-up action under the supervisor’s instruction.
2. Correspondence
- Answer routine questions and provides standard information to enquiries.
- Draft and prepare routine letters and memo for the supervisor’s signature.
- Prepare complex correspondence, reports and presentations.
3. Information handing
- Collect, summarize and compile relevant business data into reports as directed.
- Handle confidential information, files, material to ensure information security for proper use.
- Distribute information on behalf of supervisors.
- Establish and maintain a proper filing/database system for easy retrieval and accurate documentation to facilitate information flows.
4. Scheduling Logistic support for business meeting and travel
- Maintain the supervisor(s) and/or team’s appointment/travel calendars and organizes business travels, including reservation of hotel accommodation, ticketing, travel document application, etc.
- Organizing meeting, workshops, conferences etc. by providing logistics supports e.g. inspection of venue, invitations, agenda, participants’ confirmations, hotel reservation.
- Prepare and submit travel expenses statement as requested.
Job Requirements
? Education: Bachelor Degree holder in Administration, English language, etc.
? Working Experience: At least 1 to 2 years of relevant working experience as secretary
? Technical & Professional Knowledge: Good command of verbal and written English and Mandarin. Good communication and interpersonal skills. Good computer skills in Microsoft Word, Excel, PowerPoint and email. High confidentiality awareness.
