The Operation Coordinator reports to Beijing Managing Director and mainly supports the office operation, client service team and HR function.

Major responsibility:

1. Assist the client service team in preparation and proposals, presentations and SOWs

2. Follow up on signed SOW for clients and consultants and maintain the records on shared drive or hard copies

3. Keep records and report accordingly new projects/clients (FTE report) and maintain correctly on the system

4. Collect time sheet on a weekly basis following SOW and provide summary report to Hong Kong for weekly meeting

5. Create job order and update project schedule on the database

6. Coordinate and communicate on issues of time report and expenses for consultants

7. Assist client service on logistics for project execution, including but not limited to laptop, accommodation and transportation

8.Consolidate pipeline report

9. Prepare expense vouchers and payment request following financial policies and SOWS

10. Administration related purchasing and office equipment maintenance

11. Office documentation and fixed assets management

12. Hotel room reservation, ticket booking and foreign guests arrangements

13. Assistance on company event organization

14. Maintain PTO log and referral bonus

15. HR function support (profile preparation, documents filing, new sign-up & exit, ref check, system maintenance)

16. Work visa package application for Non-PRC and responsible for visa application for both inbound and outbound travel

17. Ad hoc responsibilities as assigned from management from time to time

Job requirements:

1. Bachelor degree and/or above

2. At least 3 years’ working experience

3. Preferably experienced from operations of a professional service firm

4. Excellent written and oral communication skills in both English and Chinese

Skilled with MS Excel, PPT and Word functionalities

5. Detail oriented, proactive and can follow things through with minimal supervision

6. Mature, self-motivated, and be able to work independently under pressure
