Job Profile : Client Services Leader


Responsibilities


Team Leadership


The Team Leader co-ordinates with Management to:


Supervise the Client Service Associates ensuring that they perform their job duties to a high standard at all times.

Assist management with operational training as required

Manage the general procedures and carry out checks concerning the:

1. Opening and Closing sequence

2. Daily fax, copying, courier and mail operations

3. Meeting room facilities

4. Client face-to-face and telephone interaction

5. Client schedule and message management

6. Virtual office product

7. Out of town client management

8. Arriving and departing clients

9. Telecommunication operation, features and capabilities

Supervise the cleaning and maintenance program

1. Review daily cleaning duties

2. Conduct through maintenance and defects check

3. Ensure equipment servicing and maintenance is current

4. Liaise with building management to ensure clean public areas

5. Maintains a high level of housekeeping.


General Duties


1. Greets and handles in-house guests/clients as well as potential clients in a professional manner, with a warm welcoming smile and eye contact. When guest arrives, you should stand up to greet the guest unless you are on a telephone call.

2. Maintains a high level of alertness and professionalism at the front counter by anticipating and responding to guests an/or potential clients’ needs or queries

3. Co-ordinates and oversees client’s travel arrangements

4. Maintains and updates out-of-town client lists and/or instructions

4. Develops fundamental understanding of PABX functions and troubleshoots

6. Answers telephone calls in a professional and efficient manner which includes exuding a cheerful and clear tone

7. Records messages in a clear, accurate and efficient manner

8. Ensures a continuity of presence at all reasonable times at the workstation area

9. Sorts incoming and outgoing mails as well as arranges document courier services

10. Ensures that the common areas particularly workstation area is clean and tidy at all times

11. Organizes newspapers, magazines, reading peripherals and other likes, hence maintaining a high level of housekeeping

12. Coordinates conference room bookings, refreshments for meetings

13. Assists with stationery control, office equipment maintenance and purchase of supplies

14. Supports other team members in performing duties and achieving work objectives

15. Handles client inquiries and refers to Management where required

16. Other duties from time to time as designated by the Manager or General Manager




Customer Service


1. Establishes and offers input on improvement to service standards

2. Carries out duties and interactions with clients in a professional manner at all times

3. Ensures that the Centre’s service standards are maintained at all times

4. Ensures that clients’ requests and demands are responded immediately and met to the best of your professional ability. This include handling of inquiries, complaints and feedback’s

5. Develop rapport and professional business relationships with fellow colleagues and clients
