Responsibilities
The position will be responsible for the full administration and management of the office, organizing and coordinating operations and procedures to ensure organizational effectiveness and efficiency. Responsibility includes but will be not limited to the following:
Ensure the smooth running of the office in all areas
Maintaining office services by designing, organizing and controlling daily operations (procedures,filing systems, correspondence, supply requisitions and clerical functions).
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
Handling the relevant contracts for the office operation with suppliers and service providers, including leasing.
Perform routine administrative activities
Responsible for expatriates related activities, such as renewal of working and residential permits (including expat family), coordinating moving in/out China and others.
Handling expat related contracts/services (House, school, car, language, etc)
Responsible for all foreign visitors' logistic arrangements
Prepare all necessary reports and documents for the Chief Representative and the Headquarter
Perform advanced, diversified and confidential administrative duties in line with company's policies and practices
Coordinate with FESCO for local staff recruiting and pension calculation
Responsible for organizing annual company celebration
Coordinate traveling arrangements of the executives ensuringquality service
Responsible to control the budget of the company
Frequent correspond with Headquarter office
Perform general admin work, preparation of meetings, focusing on quality and timely work completion
Work with external accountant and tax advisor providing all the support for a proper bookkeeping and tax/account activities.
Prepare periodically claims to Headquarter for reimbursement
Coordinating timely payment of suppliers
Updating of staff handbook incorporating changes of government regulations etc.
Maintenance/Upkeep/Modify of the work system by having a close coordination with the IT service suppliers.
Sourcing and decreasing costs for office supplies - cost cutting measures
Approval of petty cash reimbursement
Issuing memos to staff in reference to general office administration issues
Checking/verification of staffs' travel claims, expenses etc.
Responsible of having everything ready for the external / annual audit
Ensure travel arrangements are well co-coordinated and followed
Scheduling of appointments / Control of monthly agenda for the office executives
Requirements
At Least 3 years of experience in administrating and managing a small office in the role of Administrative Supervisor or Assistant Office Manager.
Graduated from the university with an Accounting and/or Business Administration Degree or equivalent
Full command of both spoken and written Mandarin and English
Good command of both spoken and written Spanish is very much desirable
Excellent knowledge ofcommonly used software such as Outlook, Excel, Word and Powerpoint.
Good capability for team work and enjoy team spirit
Experienced in preparing variety of reports for the local office and the Headquarter
General knowledge of HR regulations would be an added advantage
Team player with a positive attitude
Good organizational skills
Able to multi-task
Able to communicate effectively at all levels
Capable to prioritize and manage time productively
Handle discreetly confidential documentation and filing
