Sandvik in Shanghai is seeking for Admin Specialist

Sandvik is a high-technology, engineering group with advanced products and world-leading positions within selected areas. This combination has provided world-leading positions in selected areas - tools for metal cutting, equipment and tools for the mining and construction industries, stainless materials, special alloys, metallic and ceramic resistance materials as well as process systems.
The position would directly report to Admin Manager, below please refer to the job description:

Key performance area:

Provide efficient and safe working environment for employees and their activities by using best business practices to manage resources, administration services and processes to meet the needs of the company.
FACILITY MANAGEMENT
Supervise the related vendors as follows:
a) Develop and implement a facility management program including preventative maintenance and life-cycle requirements with vendor (consultant);
b) Evaluate facility/equipment supplier's service based on our criteria, including feedback time, repair/maintenance cost, product quality… conduct and document regular facilities inspection and repair/maintenance record;
c) Supervise the regular office inspection based on our criteria in order to ensure equipment/office running smoothly and prompt response to requests and issues from internal customers;
d) Manage and review service contracts to ensure facility management needs are being met, including landlord service, equipment/facility maintenance service, firefighting service…

REAL-ESTATE COORDINATION
a) Support Administration Manager in Real Estate issues for Beijing and site including reviewing new and existing Real-Estate leasing;
b) Assist to allocate and manage facility space for maximum efficiency including site allocation key calculation, leasing contract update and keep good communication with BA/PA and landlord, coordinate intra-office move / decoration budget planning and implementation ;

SITE ADMINISTRATION SERVICE
1) SECURITY
a) Make service standard and daily inspection process for Security, including 24 hours office security inspection process and policy, visitor registration management;
b) Monitor security service including regular inspection and keep document record, training record and result inspection record;
c) Monthly review meeting with vendor based on our regular inspection record, turn- over rate information, and important issues reminding ensure the continuous improvement ;
d) Evaluate vendor's service quality, have ability to compare with market price and propose to IPO.

2) CLEANING SERVICES
a) Make service standard and daily working schedule for the service vendor;
b) Daily inspection record to ensure keep service quality and realize continues improved;
c) Evaluate service quality and compare with market price to ensure cost- effective.

4) TTH SERVICE
 Supervise the Travel Agency to strictly implement responsibilities as follows:
a) Tickets: Day-to-day ticketing services for the flights and trains, alteration and complaint management.
b) Hotels: Ensure availability and accuracy of the hotel booking with company's guarantee.
c) Special Arrangements: Assist the Admin Manager to centrally handle the special arrangements for the group activities and important corporate events, to ensure the quality result.
d) VISA Applications: Get the VISA issued to the applicants accurately and timely.
e) Invitation Letters: Get the invitation letters sent to the applicants accurately and timely.
f) Staff Support:
Do support the travelling staff and group with reliable arrangement of transportation.
g) Car Hiring:
Assist the Admin Supervisor in the long-term contacts management.
Conduct the day-to-day car hiring job, with the optimized plan and the minimum cost

Your profile:
? Bachelor's degree or above, with at least 5 years' solid working experience in admin function
? Skillful in managing and monitoring the vendors/supplier/cleaning and security people
? Excellent understanding of service job, and strong customer orientation
? A proactive team player, responsible and highly commitment to the job
? A Problem -solver, able to lead and drive to improve site admin service level
? Excellent ownership and strong result-driven
? Excellent understanding of team work, and be willing to go for Win-Win
? Well communication skill in both of English and Mandarin

As a person you are proactive, self-motivated and one with lot of initiative, courage and integrity and a business minded, result oriented attitude. You also have strong communication skills and can work in an English environment.
