Sandvik in Shanghai Xinzhuang is seeking for

Admin Specialist

Sandvik is a high-technology, engineering group with advanced products and world-leading positions within selected areas. Worldwide business activities are conducted through representation in more than 130 countries. Sandvik’s operations are based on unique expertise in materials technology and extensive insight into customer processes. This combination has provided world-leading positions in selected areas - tools for metal cutting, equipment and tools for the mining and construction industries, stainless materials, special alloys, metallic and ceramic resistance materials as well as process systems.

The position would directly report to Admin Manager, below please refer to the job responsibilities:

Key performance area:

Admin Specialist is authorized to directly deal with the internal clients and external service providers, to ensure the services of travel, transportation and other Amdin related tasks completed smoothly, mainly including but not limited to the following responsibilities.

Travel Servcies
1) Travel coordination
Supervise the Travel Agency to strictly implement responsibilities as follows:
a) Tickets: Day-to-day ticketing services for the flights and trains, alteration and complaint management.
b) Hotels: Ensure availability and accuracy of the hotel booking with company's guarantee.
c) Special Arrangements: Assist the Admin Manager to centrally handle the special arrangements for the group activities and important corporate events, to ensure the quality result.
d) VISA Applications: Get the VISA issued to the applicants accurately and timely.
e) Invitation Letters: Get the invitation letters sent to the applicants accurately and timely.
2) Travel system
Assist the Admin Manager in the data updating and system upgrading.

Transportation
1) Management company driver
Get the company drivers assigned properly with sufficient work orders, to minimize the extra car hiring cost for the company. Ensure the work orders distributed to the company drivers accurately and timely.
2) Transportation management
a) Shuttle Bus:
Supervise the service providers to strictly implement the responsibilities as follows, with the minimum cost:
- Coordinate the route planning to fulfill the majority's convenience.
- Operate day-to-day shuttle bus service in smooth and safe conditions.
- Emergency response and troubleshooting.
b) Staff Support:
Do support the travelling staff and group with reliable arrangement of transportation.
c) Car Hiring:
Assist the Admin Manager in the long-term contacts management.
Conduct the day-to-day car hiring job, with the optimized plan and the minimum cost.
3) CAR FLEET MANAGEMENT
-Strictly control the petrol cards usage for all leased cars and company cars, keeping the payment accurately and timely.
-Ensure availability of all leased cars and company cars by the efficient and economic maintenance works.
Get the costs allocation done accurately, by keeping the usage records and work orders properly.

Expatriate Housing Management
-Assist the Admin Manager in handling the agencies and landlords, for the contracts, on-site inspection, troubleshooting, and payment matters.

Support Holding event
-Assist the Admin Manager to centrally conduct the travel, transportation and hospitality services for the event group/participants. Ensure the corporate events supported by the safe, smooth and convenient travel-transportation-hospitality services.

EHS Coordination
-Assist the Admin Manager to implement the responsibilities related to travel, transportation and hospitality, which required by the EHS policies and system.

Crisis Management
-Reports to the Admin Manager for the cases as follows, and then assist the Admin Manager to implement the action plans accordingly:
- Traffic accident / breakdown of the shuttle bus;
- Severe traffic jam caused by the extreme weather events.
- Interruption of the house/apartment usage.

OTHERS
1) Purchase order
Complete the POs and payment process for the procurement activities related to travel, transportation and hospitality services.
2) Corporate business licenses
Support the new application and annual review of the corporate licenses.

 
Your profile:
2~3 years of experience in the positions related to Administration.
Experience in the MNCs is preferred
University / College
Domestic travels in China are required

As a person you are proactive, self-motivated and one with lot of initiative, courage and integrity and a business minded, result oriented attitude. You also have strong communication skills and can work in an English environment.
