职位描述

工作内容
1. 公司行政资源(包括各种设施设备)的管理。如办公室设施的建设规划与执行、办公环境的建设规划与执行、办公资源的预定、协调与管理。
2. 公司日常办公用品的采购与供应,供应商的选择、管理与协调,订单申请与跟踪。
3. 公司图书、培训器材的采购与管理。图书借阅、归还的登记注册管理。
4. 公司各项休闲、会议活动的组织、协调和支持工作,包括但不限于:日程安排、场地安排、活动所需资源的安排与协调。
5. 公司差旅项目的管理,包括但不限于:酒店、机票的预定;预定接送服务;相关服务资源的选择、管理与协调。
6. 公司门禁安全管理、员工考勤记录与休假记录的管理并能够提供相应报表给财务用于薪资计算。
7. 公司接待工作及前台电话接听工作、日常员工邮件、包裹的代领服务、公司工作相关的邮件、包裹的寄送服务。
8. 协助Staffing团队进行面试的安排、接待与协调,在工作条件许可的情况下协助Staffing团队进行简历录入与筛选、预约面试、笔试和主持笔试工作。

任职资格
1. 四至五年及以上的行政工作管理经验。有在外资企业、IT行业工作经历者优先
2. 善于时间管理和有计划的工作,能够在繁杂的工作中体现自身的工作效率
3. 善于进行工作压力的调节,对服务类型工作有足够的质量意识
4. 善于办公资源、设施设备的管理,能够主动提出对公司办公资源、设施设备的改进
5. 优秀的英语听说读写能力,能够使用英语做为日常的工作语言
6. 熟练使用各类型的办公软件,并且愿意学习不同类型的新软件系统。如果有参与过工作相关软件系统模块改进者优先。
7. 以行政管理工作为个人的职业发展方向,富有挑战精神
8. 善于与不同类型的人群合作,懂得协调不同层次的需求,善于与人沟通与交流。

Job Description:
1. Manage the administrative resources (including all kinds of facilities), such as the construction planning and execution of the office facilities and office environment. Also the office resource reservation, coordination and management.
2. Purchase and supply of daily office supplies. Choose and coordinate with suppliers; order applying and tracking.
3. Purchase and manage books and training equipment. Register and manage the lending and return of books.
4. Organize, coordinate and support all the leisure activities and meetings, including but not limited to: schedule and ground arrangement, activity resources arrangement and coordination.
5. Company travel project management, including but not limited to: hotels, airline ticket reservation; scheduled pick up and drop off services; related services resources selection, management and coordination.
6. Company access security management, staff attendance record and leave record management and be able to provide corresponding report to the finance team for salary calculations.
7. Company reception and front desk telephone, daily staff mail, staff packages claiming, the company work related mail, package delivery service.
8. Assist Staffing team to conduct the interview arrangement, reception and coordination. As work conditions allow, assist Staffing team to input and select resume, make interview appointments, arrange and preside over written examination.

Requirements:
1. Four to five years and above of administrative work management experience. In foreign enterprise, the IT industry work experience is a plus.
2. Good time management and planned work. Can multitask and improve their work efficiency
3. Good at working under pressure. Have enough quality drive be of service to others.
4. Good at office resources and facilities management. Can offer ideas to improve office resources and facilities equipment.
5. Good command of English in listening, speaking, reading and writing. Able to use English as a language for daily work.
6. Proficiency in the use of various types of office software, and willing to learn different kinds of new software systems. Involved in work related software system module improvement is preferred.
7. Administrative management work for personal occupation development direction and challenge-driven spirit.
8. Good interpersonal skills; knows how to coordinate with different levels of demand and is a good communicator.
