Responsibilities:

1) Provide full,pro-active and highly confidential admin and secretarial support.
2) Diary management: assisting the VP in planning his/her time by co-ordinating and arranging internal and external meetings,taking into account purpose,importance,impact and various complex and comprehensive boundaries and interfaces.
3) Reading and screening of e-mail,incoming correspondence,phone calls and general inquiries,taking full account of urgency and actions to be taken.
4) Plan and organise required team meetings,while taking care of the agenda,logistics and ensuring attendance.
5) Plan,organise and book travel arrangements,teleconferences,meetings and workshops including liaison with all parties involved.
6) Assistance with budget management (like payment orders and invoices),monitoring and claiming expenses
7) Assist with presentations,meeting preparation and other documents by liaising with others in the collection and preparation of information.
8) Build and maintain a network of contacts in the Business/Function community/worldwide to ensure an effective and efficient working environment
9) Handle any arrangements for visitors from a wide variety of cultural backgrounds including meetings on and off site and social functions
10) Ensure efficiency and continuity of the department in times of absence of line management

Requirements:

- Highly organised
- Can work under pressure and conflicts
- familiarity with Shell systems eg travel, IT, HR
- Trustworthy
