Group Assistant
Responsibilities include but not limited to:
- Calendar management, meeting arrangement and meeting room reservation
- Support to manage HeadTrax, support and track headcount related activities including setting up new hires - Work with HR on people on-board and leave
- Create Purchase Orders and process invoices for Internal events/intern cost/computer and hardware
- Support to manage and co-own Distribution/Security Groups and group alias maintenance
- Update, maintain and provide organization charts for Group/Team
- Support the maintenance of the group’s SharePoint portal
- Support travel logistics and team events logistics
- Provide operational supports in purchasing employee computer ,hardware and inventory tracking
- Expense report preparing and tracking
- Other administration projects/initiatives
- This position has frequent contact with all levels of Microsoft employees as well as frequent contact with outside suppliers.
Job Requirements:
- The ideal candidate should have a positive attitude, , be pro-active, maintain confidentiality of information and needs to have strong planning and organizational skills, be able to work independently, prioritize own work and resources, problem solving and have a strong attention to detail. Be able to work effectively under pressure and within short time constraints.
- In addition, candidate needs to be adept at implementing and monitoring complex travel plans and schedules, operate with composure and flexibility under pressure, act with good judgment in complex situations, show respect for all individuals in all situations, and react with appropriate urgency to situations and events that require rapid turnaround. Ability to manage multi-task in a good time management manner.
- Position requires strong working knowledge of Office products (Outlook, Word, Excel, Visio and PowerPoint), maintaining team site using SharePoint and ability to learn new applications quickly (a plus).
Qualifications:
- Ideal candidate has 5+ years of administrative or related experience in a multinational oriented company collaborating across multiple countries.
- A BA/BS degree or equivalent
- Strong communication skill
- Fluent English with both oral and writing
-English CET 6 or above
