SWIFT’s regional office in Frankfurt represents one of the most important markets for the company… To support the development of the business in this zone, we are currently recruiting a (m/f): an Office Administrator -SHANGAI based - for a full time working schedule, for a limited period of 12 months.

In this role, your prime focus will be to handle Office administration activities for the SWIFT Shanghai office. This includes: management of visitors, suppliers, telephone routing and administrative support to the extended local team.


Responsibilities

Your Office administration responsibilities include:

· Undertake switchboard management activities including: call routing, voice user support services consisting of first level support, voice mail, organisation of PBX and voice mail backup

· Perform external and internal visitor services reception duties (such as issuing access badges, organising and planning transport services, providing support during visit such as catering)

· Arrange conference room bookings & maintenance of the electronic telephone directory. Provide video user support and administer the conference system 

· Provide administrative support for mobiles and calling cards & report problems/issues to the Site Manager

· Liaise with Building Management & local vendors to ensure office facilities are well maintained, bills are settled within due date and liaise with Finance & Administration team as required

· Ensure office complies with domestic health & safety regulations and SWIFT security requirements

· Assist & support local events as required



Qualifications

For this role you will have to demonstrate:

· A collaborative team player with good discipline, communication skills and organized way of work & ability to prioritise tasks;

· Strong self-initiative and eagerness to learn

· Strong language skills in English & mandarin (Both Written & verbal)

· Proficiency in MS Office tools (Excel, Word, PowerPoint)

· Customer-oriented; Proactive

· Knowledge of CRM systems (preferably Salesforce.com) and SAP would be an advantage

· Qualifications/experience

· Tertiary qualification an advantage

· 3-5 years’ experience in an Office administration role and at least 3 years of relevant experience in a sales support function
