Title: Administration Manager
Location: Shanghai
Reporting Relationship: President, IMI Critical Engineer Greater China & Korea

Main Focus and Challenges
Create clean and delectable working environment. Provide administration service for IMI internal and external customer. Leading Office 5S.

Specific Responsibilities
-Manage the administrative activities of the overall organisation so that administrative staff, equipment, supplies, and other resources are used effectively and economically.
-Manage the day-to-day operations of a variety of office services to ensure that the organisation's current and future administrative needs are met efficiently, reliably, and economically. These activities may include: copy services; office supplies, equipment, and inventory; administrative assistance; mail, distribution, and messenger services; records management; fleet/shuttle bus/Company Car management; cleaning, gardening, and maintenance services; cafeteria and recreation services; facilities management; and reception and communication systems (such as telephone, fax transmissions systems, etc.).
-Liaise with functional or operational area managers to ensure that office administration policies, programmes, and activities are appropriate for their current and future business needs.
-Plan, prioritise, and manage maintenance activities and upgrades to equipment, facilities, and systems to minimise disruptions to business activities and use the organisation’s resources effectively.
-Research, evaluate, and recommend office supplies and equipment purchases to minimise costs and meet the organisation’s business needs.
-Select, and manage ongoing relationships with external suppliers (for example, cleaning or maintenance contractors or equipment vendors) to ensure the organisation receives satisfactory standards of service.
-Lead, direct, evaluate, and develop a team of para-professional staff to ensure that administrative activities are completed on time, according to established standards, and within established budgets.
-Organize company’s event, such as, family day and annual party.
-Provide high level secretarial and administrative support for Greater China President, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organisation's operations, procedures, and people.
-Manage the Greater China President’s appointments and schedules and make travel arrangements to make best use of their time.
-Gather, compile, verify, and analyse information for the executive to use in documents such as memos, letters, reports, speeches, presentations, and news releases.
-Handle confidential information and maintain the security of the executive’s records and files.
-Perform other administrative tasks using independent judgement and discretion.
-Plan, organise, and schedule own workload so that these activities are completed accurately and on time. These activities may include preparing documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.

Qualifications and Experience
-Bachelor degree or above, minimum 6 years administration experience with 2 years team management experience or Executive Secretary experience.
-Fluency of English and Excellent written and oral communications skills
-Able to work in a collaborative environment
-Self-confident, ability to accept and respond to challenges in a positive manner
-Effective interpersonal skills dealing with people at various levels and in a variety of functions
-Excellent problem solving skills.
-Computer literacy is essential, including intermediate MS Word, MS Excel, MS PowerPoint and Internet.
