Job Title Facilities Specialist 1

Real Estate & Facilities (RE&F) manages Oracle owned and leased properties around the world. In addition to providing and maintaining a quality work environment and facility services, RE&F oversees construction projects related to opening, closing and renovating office locations.
Brief Posting Description
Provide effective space planning, building, and office management services for economy of operation and maximum usage of facilities and equipment. Work with external vendors to develop and implement facilities plans. Review vendor contracts, onsite vendor performance, timely work order completion, and construction related activities. Prepare and monitor annual property budget and other related costs in facility planning.
This position will interface with both senior management as well as individual contributors.
Detailed Description
As a member of our building services team, you will assist the building site manager, for owned locations, in all aspects of daily operations. This may include managing Oracle*s usage of office space and equipment. Ensure adherence to company facility standards and specifications of building and safety codes. Reviews and estimates design costs including equipment, installation, labor, materials, preparation, and other related costs. Prepare and monitor annual budget. Prepare expense estimate comparisons, benchmarking, vendor RFPs and onsite management of building amenities such as fitness center and cafe.
Job Requirements
Work involves some problem solving with assistance and guidance in understanding and applying company policies and procedures.
Excellent communication skills. Familiarity with email and MS Office applications is essential.
Willing to function as after hours contact for facilities emergencies and be accessible via phone or pager.
Typically graduate or equivalent with 0 - 2 years prior facilities or property assistant experience.
SPECIFIC RESPONSIBILITIES
l Manage the Facilities operational aspects which including office services and facilities operation and maintenance program provided by contractors and vendors up to expectations and satisfaction ;
l Communicate discrepancies, non-compliances, quality issues and exceptions to Manager and service supplier on a timely basis to ensuring all office services issues are resolved promptly
l Set up annual preventive maintenance plan for all facilities equipments; Coordinate all maintenance schedules, renewals, payments and site visits
l Maintain adequate inventory of general office supplies including supplies for office equipment.
l Obtain vendor price quotes, seek to identify cost effective purchasing alternatives .prepare purchase requisitions with accompanying justification via web;
l Ensure all purchasing agreements/service contracts with various vendors are engaged and documented accordingly
l Monitor & verify vendor payment status to ensure purchase orders are not over-billed and vendors receive timely payment to avoid disruption in service.
l Update space assignments into Oracle Property Manager monthly, making sure data is current and accurate as well as running reports to identify duplicate or missing assignments
l Regularly liaise with LOB Heads to gather headcount projection, space requirements and updates space capacity plan on quarterly base
l Function as a liaison between Oracle, building property manager, and other vendors on any issues like temperature issue, renewal of monthly/quarterly season parking, as well as repairs and adjustments on as needed basis
l Reviews and estimates facilities operation costs including various of office services, office supplies, equipment purchasing and maintenance program. Create FY Budgets and follow internal audit recommendations with appropriate bidding.
l Logistic arrangement for new and exiting employees, which includes badges, seat signage, DID number, desk keys etc
l Provide regular standard reports as requested by the Facilities Manager.
l Handle facilities related duties when being assigned.
RELEVANT EXPERIENCE and TRAINING
l Minimum College Level with at 3-5 years office management experience in a large MNC corporation
l Excellent problem solving skills
l Good interpersonal and conflict resolution skills
l Understanding of office procedures and property management responsibilities
l Analytical skills
l Excellent organizational skills and follow through on task assignments
l Ability to work independently with minimal supervision and handle multiple tasks
l Ability to use effective time management skills
l Responsiveness to customer requests/service issues
l Development of work processes and elimination of unnecessary or redundant steps
l Ability to interact with all levels within the company, regular interaction with external customers and vendors
l Ability to accurately complete tasks within specified deadlines
