Job title
Order Planner
Purpose
To ensure that orders from customer and network are handled correctly, that all input into the system is accurate. Besides, all demands from customer are met and communicated in an efficient and professional manner that the order fulfilment points are kept fully informed of all developments regarding their orders.
Be active to support the related corporates in the ordering and logistics processes is required, update the data entry on timely without errors.
Participate and contribute in specfic project if its required.
Interrelations
The position reports to Operations Manager.
Formal authorities
? Authorized to place customer/purchase order by use of the internal ERP system as well as the order closure and analysis reports
Main responsibilities
? Responsible for placing orders from Sales side then book into the system in line with the delivery schedule dates, quantities and relevant prices and delivery terms
? Responsible for placing urgent orders into the system
? Responsible for order closing in the system
? Responsible for backlog update and follow up towards customer as well as supplier
? Responsible for general correspondence with the network
? Responsible to ensure that practices at all times comply with the regulatory approvals, permits and certification for all products and services within the defined quality, procedures and business practices of the organization
? Must clearly understand the corporate's business goals and be able to apply them to the day-to-day operation of the project ordering and delivering
? Assist where necessary in the tasks of the department in terms of :
? Order Input
? Order report and data Analysis
? Problem Solving
? Liaison between External Sales Support
? Day-to-day Orders maintenance
? Order Confirmations update
? General Administration that include paper contract filing
? Enquiries Follow-up from customer
Accountabilities
? Improvement notices received
? Monthly order and delivery status report
? Quarterly service level report
? Meet financial and operations quality performance, and customer satisfaction targets
When needed
? Immediate reporting of all accidents and near misses according to applicable routine.
? Claims and non-conformances according to applicable routine.
? Department meetings & status report
? Other reports when required by superior
Qualifications
Mandatory requirements
? Middle level education and additional logistics/sales knowledge
? Additional education on administration & economics
? Familiar with office applications and ERP system
? Work on own initiative within a team
? Ability to work under pressure
? Versatile and adaptable to varied working conditions
? Correct telephone and emailing manners
? Systematic and accurate nature
? Good knowledge of payment terms and letters of credit
? Good command of written and spoken English language
? Able to communicate on all levels within the organization
