职位描述

Key Accountabilities:

Customer Service

  • To ensure there is a proactive general administration support for the company and minimize disruption/inconvenience to the business and daily office operations by providing an efficient day to day service
  • To ensure the administration assistants understand the need to deliver consistent, friendly and responsive service to all parties at all times
  • To ensure the minimum accepted Lane Crawford standards of service are consistently executed at all times and reception deliver friendly responsive service to all visitors and callers
  • To take every opportunity to exceed the internal customers expectations by being proactive and handling and resolving administration queries and issues efficiently and courteously
  • To coordinate with Operations, CMC and CRM as required to ensure the supply and timely delivery of wrapping materials and uniforms for all stores of all items
  • To ensure that the agreed standards relating of cleanliness and ongoing maintenance for the office, store and warehouse are adhered to at all times

Financial Controls

  • To monitor and control operating expenses for agreed areas of responsibility
  • To input into the annual budget and forecast process for expenses within areas of responsibility
  • To proactively seeking areas for cost saving opportunities
  • To negotiate and regularly review contracts with all contractors under their responsibility, ensuring expenditure is in line with agreed targets

Vendor Management

  • To negotiate with respective suppliers for competitive pricing and ensure consistent quality and services of products/suppliers via random checking and control
  • To place orders, handle documentation relating to payment and ensure supplies are delivered on time to correct locations. Liaise with customers on most appropriate delivery location
  • To arrange samples of requested product/goods and work with the vendor to ensure that the correct products are ordered which meet LC specifications and are within agreed budget
  • To work with the Asst Admin Manager to regularly review contract terms and conditions on all contracts to maximize opportunities for LC at all times
  • To check and monitor all travel arrangements as required to ensure the requests are within budget and adhere to the LC Travel Policy

Communication

  • To ensure that all office communication e.g fire drills, office services, are timely and relevant
  • To communicate regularly with administration team on all matters relating to the office and general administration and housekeeping tasks
  • To communicate regularly with the Assistant Administration Manager and ensure any issues are brought to their attention promptly
  • To hold participate in the weekly admin meeting
  • To keep open communication channel and liaise with all other departments and coordinate general office activities as appropriate
  • To keep updated records of all administration information/data pertaining to the group for assigned areas of responsibility. Provide reports as requested

Team Leadership

  • To demonstrate and reinforce the Lane Crawford Vision and Values at all times and provide the necessary leadership to gain commitment from administration team
  • To encourage the administration team to take an interest in and gain a broader understanding of the company activities by attending company events and viewing LCNet information
  • To oversee the Administration Team, ensuring they are working efficiently and to identify and resolve any operational problems
  • To supervise and assign duties of office staff, deputize for receptionist when required
  • To carry out general administration and office duties as required to support the office team
  • To know, enforce, and educate teams on all appropriate personnel policies, labour laws, security and safety procedures
  • To provide on the job coaching to ensure that staff are able to meet and exceed the standards required of their role
  • To give feedback on performance and identify opportunities for additional training for the individuals in the team
  • To monitor and review performance of Administration team with the Vice President – Finance identifying individuals who are ready for promotion or require performance improvement plans
  • To take appropriate corrective action with team members who fall below standard (in consultation with HR Department)
  • To complete and present performance appraisals based on defined goals and objectives for admin employees in a timely manner
  • To deputise for the Assistant Administration Manager as required

Requirements:

  • Bachelor Degree or above
  • 5+ years solid working experience in Administration
  • Good time management ability
  • Sound computer skills
  • Good communication skills in both English and Chinese
